Job description
The main purpose of this position is reviewing incoming invoices from vendors, matching those invoices to appropriate purchase order "PO" number, receiving approval for payment and entering data into the computer system.
Responsibilities:
  • Follows proper AP procedures and guidelines as outlined by management by: Ensuring proper approvals on invoices have been received, verifying invoices are complete prior to processing payment, watching for duplicate invoices, and maintaining proper records.
  • Entering assigned invoices and credits in a timely manner.
  • Scanning and indexing entered items.
  • Handling phone and email inquiries from vendors.
  • Collecting credit balances.
  • Opening and sorting mail, along with filing and mailing out checks.
  • Update and maintain vendor database.
  • Other duties as assigned.
  • Timely and regular attendance according to the scheduled shift as determined by supervisory personnel.

Qualifications:
  • High school graduate or equivalent experience.
  • Six months to one year basic business experience preferred, including some knowledge of accounting principles.
  • Proficient with MS Word and Excel, AS400 experience desired.
  • One to two years alphanumeric and 10-key data entry experience preferred -to be tested.
  • Knowledge of basic Accounting principles such as understanding the general Ledger account numbers so as to code invoices.
  • Skilled using 10 key by touch - a minimum of 9000kph.
  • Exhibit exceptional planning and organization skills.
  • Should be highly adaptable, detail orientated and able to work autonomously.
  • Ability to build relationships and work collaboratively and independently.
  • Ability and desire to problem solve, prioritize, and multi task in a fast paced environment.
