Edward Jones Trading team is seeking an administrative assistant who can support three General Partners in addition to supporting two General Partners from the Retirement & Annuity team, with individual travel, scheduling, and expense reporting, as well as provide support to the overall areas. The opportunity also includes the coordination of agendas and materials for key meetings, interfacing with internal and external relationships/vendors that are important to the operations and functioning of the area. The individual will also assist the leader of the Trading area with maintaining and managing significant expenses relating to the firms' trading functions and acting as a liaison with the Finance area to ensure timely payment of invoices. Additionally, the selected individual will also have the opportunity to assist the Municipal Syndicate area in a back-up capacity, ensuring deal files are completed and the area fulfills its regulatory responsibilities.

What You Will Do:
- Support individual General Partners (GPs) and General Partner leadership team
- Calendaring, travel logistics/arrangements, expense reporting, Travel Award Trip support
- Support GP leadership Meetings - Agenda, pre-reads, notes, follow-up action items
- Assisting in Video coaching calls, liaison for questions, etc.
- Provide office management support including follow-up on issues relating to computers, printers and fax/copy machines, and maintain office supplies and equipment, ordering office supplies and other office logistics
- Prepare correspondence and presentations. Draft letters and memos. Prepare Power Point presentations.
- Maintain and update area collaboration tools (i.e. SharePoint)
- Prepare accurate reports, summaries, and tabulations from project specific data
- Conduct subject research as necessary to complete special projects and report assignments
- Understand, maintain, and revise operational procedures relative to office clerical activities and workflow in and out of the area in accordance with leadership team guidance.
- Assists GP and leadership team with administrative projects
- Other duties as required
- Area Support
- Prepare, coordinate, and facilitate area meetings/town halls as well as schedule and coordinate area calendar including scheduling and making meeting arrangements.
- Process paperwork and support onboarding for new hires across the area including associates, contingent workers, and consultants
- Coordinate and seamlessly facilitate deadlines, such as GP Reviews, Talent Reviews, etc. Communicate and schedule accordingly
- Pull data and run reports in support of area objectives.
- Handle area phone calls and route calls to appropriate associates or departments to handle information requests
- Make copies, send, and distribute faxes and mail
- Maintain area files
- Order supplies and ensuring that all office equipment is functioning
- Process payment of invoices and travel and business expense reports
- Handle projects as assigned
- Maintain spreadsheets and prepare reports
- General administrative responsibilities

Skills/Requirements
What Experience You Need:
- High School Diploma or equivalent.
- Secretarial training preferred.
- 3+ years of experience supporting senior level/division level leaders in an enterprise organization. Strong organizational skills with ability to set priorities and handle multiple tasks.
- Self-motivation and ability to work independently.
- Must have good verbal communication skills and customer service orientation to handle internal and external contacts.
- Must have skills in using office programs such as Microsoft Office including Word, Excel, PowerPoint, Outlook, SharePoint, etc.
