Position Overview

Fiducial is looking for an Administrative Assistant / Office Manager for their busy Manassas, VA office and will be instrumental in developing and streamlining administrative procedures.

The Office Manager will organize and coordinate office administration and procedures in order to ensure organizational effectiveness and efficiency. He/she will be responsible for supporting a small but busy team. This role is covering not just all aspects of office administration and liaising with clients, but also finance and accounting-related tasks.

Main Responsibilities:

  • Point person for maintenance, mailing, shipping, supplies
  • Answers phone, provides information and general support to clients / potential clients
  • Organize and schedule meetings and appointments
  • Organize office procedures
  • Manage relationships with vendors
  • Responsible for developing and implementing office policies by setting up procedures and standards to guide the operation of the office
  • Ensure filing systems are maintained and current
  • Ensure the security, integrity, and confidentiality of data
  • Design and implement office administrative procedures
  • Coordinate schedules, appointments, and bookings
  • Monitor and maintain office supplies inventory
  • Maintain billing reports
  • Research specific finance projects as requested by Branch Manager
  • Manage AR and collections
  • Manage invoicing

Desired Skills/Experience/Attributes

  • Office management or administrative experience in a CPA/Accounting firm is highly preferred
  • Knowledge of office management responsibilities, systems, and procedures
  • Excellent time management skills, and ability to multi-task and prioritize work
  • Attention to detail and problem-solving skills
  • Excellent written and verbal communication skills
  • Strong organizational and planning skills
  • Proficient in MS Office
  • Knowledge of accounting, data, and administrative management practices and procedures
  • Knowledge of clerical practices and procedures

The ideal person for this role is experienced in handling a wide range of administrative and executive support-related tasks and able to work independently with little or no supervision. Well organized, flexible, and enjoys the administrative challenges of supporting an office.
