The Newington New Hampshire Fire Department is currently accepting resumes to fill a Part-Time 30 hours per week Administrative Assistant to the Department. The Newington Fire Department offers competitive wages as outlined in the IAFF Local 4104 collective bargaining agreement.
Pay/Compensation are commensurate with experience. All new hires are on probationary status for one year from the date of hire. The Town of Newington, New Hampshire is an equal opportunity employer.

DEPARTMENT ADMINISTRATIVE ASSISTANT
POSITION OVERVIEW
The Administrative Assistant reports to the Fire Chief or designee. The Administrative Assistant will be responsible for performing administrative work with a minimal degree of supervision. At this level, emphasis will be on coordinating department activities as assigned by the Chief or appropriate designee. An employee in this position will be encouraged to make independent judgements and decisions based on analytical and innovative thinking. Performance on this level is measured through conferences, reports, and analysis of the methodology and level of success in accomplishing assigned tasks consistent with agency goals and mission statement, as well as national standards.
MINIMUM QUALIFICATIONS
- Minimum of 18-years-old.
- High school diploma or GED.
Additionally, college or office related work experience is preferred.
- High level of demonstrable skill in current office related software, to include Outlook, Excel, and Word.
DUTIES AND RESPONSIBILITIES
- Receives assignments and sets work priorities, coordinating them to meet deadlines in order to assure an efficient workflow throughout the department.
- Meets regularly with the Chief and key employees to identify needs and report on progress of activities as described in this job description.
- Assists in the administrative development of new programs, systems, and procedures to improve the efficiency of those programs at the administrative level.
- Prepare payroll, deposits, detail invoices, and billing forms for submission to Town Hall for service.
- Process incoming revenue.
- Process EMS run reports for billing.
- Prepare periodical reports and maintain and report on fiscal activities of the agency.
- Budget reports to the Chief and Board of Fire Engineers.
- Compute monthly and annual activity reports as applicable.
- Attend and scribe Board of Fire Engineers meetings.
- Receipt and submission of leave slips, including updating payroll records.
- Receive daily mail and distribute to the appropriate division or person.
- Prepare confidential documents for the Chief and Assistant Chief
- Move inspection reports internally to correct electronic storage/physical storage.
- Distributes any requested or necessary permits, reports, or other documents needed by our walk- in "customers".
- Receives incoming phone calls and assigns them to the appropriate division or person within the department or takes messages as appropriate.
- Perform other related work as assigned by the Chief or designee.
OTHER NECESSARY SKILLS
- Ability to read, write and speak the English language fluently.
- Ability to read and understand materials concerning emergency medical reporting.
- Ability to demonstrate above average writing skills.
- Ability to work independently and solve problems involving many variables with the minimum of supervision.
- Ability to demonstrate a high level of organizational skills.
- Ability to speak publicly and on the phone.
- Ability to complete assignments in a timely fashion.
- Ability to deal tactfully, professionally, and effectively with others.
- Ability to maintain confidentiality.

Pay: $24.61 - $31.42 per hour
