Loving Family Dental has an opening for an Appointment Coordinator in Fountain Hills, Arizona. We provide a working environment like no other dental office you have ever seen! Because of our commitment to our patients, all positions within Loving Family Dental require that the team member arrive promptly on time; however, it also requires that the team member in flexible in leaving to accommodate occasional delays in the daily patient schedule, staff meetings and other responsibilities deemed necessary.
Responsibilities:
- Keep Back Office informed of appointment changes by correctly making changes on the appointment book and to provider, either by instant message or verbally.
- Responsible on an hour-by-hour and day-by-day basis for seeing that patients show up for their appointments and show up on time.
- Keep schedule full for hygienists and dentist using Perfect Day scheduling.
- Manage ASAP/Hotlist (Recall Max Short List) of individuals who would be happy to come in sooner than their scheduled appointment if there is an opening in the schedule.
- Manage Continuing Care Schedule.
- Confirm appointments.
- “Break” missed appointments and add appropriate procedure to ledger (no show or broken <24 hours) and send missed appointment letter.
- Maximize each provider’s time by managing the production schedule (doctor & hygiene).
- Meet or exceed the daily goals set for each of the providers (doctor & hygiene).
- Minimize schedule changes.
- Keep track of patients that fail to show for their appointment and record reason for missed appointment in office journal.
- Process New Patient Questionnaires.
- Greet patients; check them in, update information such as address, phone numbers, insurance information, etc. Accurately document changes in chart and make any applicable notes in Guarantor notes or office journal.
- Verify patient eligibility.
- Chart “referred by” patient referral in Family File or from new patient appointment.
- Check in lab cases when delivered using lab case manager.
- Process incoming radiograph requests.
- File unfiled documents in Document Center.
- Clinical Notes/Ledger audit for hygiene schedules.
- Send Thank you and sympathy cards.
- Any other task as assigned.
Qualifications:
- Prior dental front office experience/experience in a professional setting preferred.
- Highly effective verbal and communication skills.
- Excellent customer service skills.
- Professionalism in all aspects of job.
- Strong interpersonal and relationship building skills.
- Ability to multi-task and work in a fast paced environment.
