Job Overview:
Under direct supervision of the Community Association Manager (CAM), the Assistant Community Association Manager acts as the administrative assistant for the property and is responsible for understanding all company policies and procedures and assists with implementation of such. As a vacation rental property, the Assistant Community Manager is required to oversee our reservation desk, as well as guest relations operations.
General Responsibilities:
Below are some of the general responsibilities but not limited to all aspects of the position.
- Outstanding customer service and phone skills
- Interact with our guests and ensure they have a great experience when stay at the resort.
- Responsible for responding to guest calls or inquiries about room reservations.
- Answer incoming calls and assist with reservations, confirmations, room need requests, and questions.
- Explain products, service, and other information about the resort as requested.
- Process, enter and confirm room reservations using selling techniques and strategies.
- Greet guests warmly and perform registration procedures.
- Provide guests with appropriate room assignments, room keys and directions to the rooms.
- Verify payment for stay including incidental costs by obtaining credit information.
- Assist guests with issues and complaints, with empathy and a focus on guest satisfaction.
- Post charges to guest accounts as designated.
- Facilitate guest departures providing accurate statements and ensuring guest satisfaction and collecting all payments due.
- Accounts payables for the community association, to ensure property billing of owners.
- Supervise expenditures to conform with budget guidelines.
- Help to establish budget controls, inventory compliance for both maintenance and housekeeping.
- Ensure both housekeeping and maintenance complete work orders and cleans in a timely manner.
- Assist in the supervision of employees in the absence of the CAM/General Manager.
- Answer calls from owners, vendors, and board members.
- Answer after-hour on call needs in the absence of the CAM/General Manager.
Education:
- High school diploma or equivalent.
- Florida Community Association Manager License a plus, but not required, will facilitate obtaining a CAM license after 90-day probationary period.
Experience:
- At minimum 2-3 years previous property management, guest service and reservations experience required
- Excellent written and oral communication skills required.
- Positive interpersonal skills required.
- Must be fluent in verbal and written English.
- Excellent computer and typing skills are required.
- Excel and Word proficiency desired.
Job Type: Full-time
Pay: $45,000.00 - $55,000.00 per year
