Nature of Work
The Athletic Business Manager is responsible for all financial functions of the College’s NCAA Division II intercollegiate athletic program competing in the Rocky Mountain Athletic Conference (RMAC). This position exercises discretion and independent judgement in providing financial oversight and administrative support to the Budget Director, Athletic Director, coaches, and other athletic staff by acting as the financial expert for the athletic department. This position is also responsible for establishing and enforcing procedures to ensure proper cash handling and reporting of all athletic department related revenues and expenditures.

Examples of Work Performed
Essential Duties:
1. Oversee the day-to-day financial operations of the College’s Athletic Department within the College, Nebraska State College System, RMAC, and NCAA procedures and guidelines as well as generally accepted accounting principles.
2. Serve as a liaison between the College’s Athletic Department and the departments of Accounting, Budget, Human Resources, Business Services, Financial Aid, Administration & Finance and the Foundation.
3. Responsible for reviewing, recommending changes and updating accounting procedures in the College’s Athletic Department Policies and Procedures Manual in regard to financial control and HR/Payroll guidelines, as well as ensuring compliance with said Manual. This will be accomplished working with the Vice President for Administration and Finance, Athletic Director, Comptroller and Budget Director.
4. Responsible for researching and implementing best practices related to Athletic Department cash handling and training ticket sales staff on the cash handling best practices.
5. Provide training to all Athletic Department staff on financial policies, procedures, and processes, including RMAC and NCAA financial regulations.
6. Complete annual budget needs analysis in conjunction with head coaches for each athletic team and train head coaches on completing a budget proposal based on the needs. Assist the Athletic Director with preparing and administering the Athletic Department’s budgets.
7. Identify areas of potential financial savings and/or efficiencies due to scale, i.e. lodging, transportation, meals, apparel, equipment, etc. Complete Requests for Proposals (RFP) when appropriate for these types of services and negotiate these contracts for services.
8. Review and approve all expenditures of the Athletic Department to ensure proper documentation and compliance with all policies and procedures.
9. Oversee the collection of revenues from all Athletic Department activities, included but not limited to camp/clinic registrations, game program sales, sponsorships, or Foundation reimbursements. Review all revenue deposits to ensure proper documentation and compliance with all policies and procedures.
10. Act as a resource and coordinator for Athletic Department coaches and staff for purchasing of equipment and supplies, contracts for services, and completion of travel requests and travel expense reimbursements.
11. Monitor, reconcile, and consult with the Athletic Director and coaches on the status of all Athletic Department budgets (operating, camp/clinic, scholarship/remission, foundation, etc.). Conduct budget meetings on a regular basis with the Athletic Director and coaches.
12. Oversight and coordination of all athletic event ticket sales, gate receipt reconciliations and deposits, ticket sales staff, complimentary ticket program, season ticket program, and all other athletic ticket operations.
13. Assist with the planning and execution of Athletic Department special events, including Hall of Fame, When Eagles Dare and the Black Tie Calf Fry.
14. Responsible for the preparation and submission of mandatory reporting and financial information (i.e. Equity And Disclosure Act (EADA), annual NCAA report, bi-annual RMAC report, agreed-upon procedures, internal financial audit, etc.)
15. Maintain complete and accurate financial records that will ensure the expeditious retrieval of information.
16. Interact positively with students, parents, employee, boosters and friends of the Athletic Department.
17. Ensure communication concerning athletic department financial matters are appropriately maintained with College Administration and the Foundation.
18. Provide training, information, and resources for Name, Image, and Likeness (NIL) to student athletes in conjunction with the Athletic Directors. Be familiar with the NCAA NIL regulations to ensure compliance with regulations as they continue to evolve.
19. Review Athletic Department contracts for compliance with NSCS Contract Guidance prior to submitting contracts for approval and signature. Assist with oversite of these contracts and billing for these contracts, when appropriate. (For example – game guarantee and sponsorship contracts).

Secondary Duties:
1. Assist coaches, Coordinator of Conferencing, Housing Director and Human Resources Director in the coordination of summer camps .
2. Perform other duties and responsibilities as assigned by the Budget Director.

Required Qualifications
Bachelor’s degree in accounting or related field and two years’ experience in accounting or related field.

Preferred Qualifications
Experience working with computerized accounting systems.
Knowledge of intercollegiate athletics.
Ability to work in a fast-paced environment, multitask, manage, and prioritize work.
Strong attention to detail.
Excellent written and verbal communication skills.

Physical Demands
The physical requirements for this position may include, but are not necessarily limited to, the ability to use a computer, calculator, telephone, keyboard, and/or various types of office equipment. Must be able to effectively communicate in verbal and written formats and satisfactorily perform the functions of this position.
