Position Title: Clerk

Department: DPW – Parks & Recreation

Employment Status: Non-Exempt; Full-Time, UCFW Administrative Union

Salary: Grade A02, Step 1, Starting pay is $17.63 per hour

Licenses/Certifications: Valid Driver’s License

SUMMARY

The City of Chicopee’s Department of Public Works Parks and Recreation Division is hiring a Clerk that while under supervision, this position performs general clerical duties according to standard office procedures for the Parks & Recreation Administrative Office. The clerk acts as a receptionist answering phones and providing customer service as needed for all Parks & Recreation and Cemetery functions. The position is also responsible for administrative functions of the Department which may include processing purchase orders, paying invoices, entering contracts, processing permits, taking reservations for programs and collecting fees, selling cemetery plots, and processing and filing all necessary cemetery paperwork, sorting, and distributing mail, special projects, and other related functions. Overtime may be required on occasion.

ESSENTIAL DUTIES INCLUDE

· Assists Parks & Recreation Administrative staff with customer service and standard program registration issues. Keeps records of purchases and checks invoices for accuracy. Prepares and processes bills, purchase orders, warrants, and requisitions in the City's Enterprise ERP (formerly MUNIS) software program.

· Processes sales of cemetery lots, grave openings, perpetual care, and foundation requests and collects fees. Maintains all cemetery records. Works with Funeral Directors and other individuals regarding burials.

· Collects monies and forms for Recreational programs, OPEE, and other activities and submits all monies to the Treasurer's Office. Sells pool badges and all parks permits.

· Research account information to address questions and concerns regarding recreational programs and the cemeteries. Answers miscellaneous questions and addresses complaints from the public on the phone and in person.

· Types reports, correspondence, spreadsheets etc. utilizing a working knowledge of Microsoft Office programs such as Word, Excel, and Access.

· Assists with office supply inventory and ordering.

· Prepares and verifies the accuracy of labor and materials bills. Operates adding machines, calculators, computers (using Microsoft Office products) as well as knowledge and use of Enterprise ERP (formerly MUNIS) for this work.

· Maintains schedule for pavilion rentals and cemetery burials.

· Overtime duties during special events may be required.

· Must abide by City of Chicopee Health & Safety policies and procedures.

QUALIFICATIONS

To be minimally qualified for this position, one must meet the following criteria:

· Must possess a valid Massachusetts Class D driver's license.

· High school diploma or general education degree (GED), with 2 years related experience and/or training; or equivalent combination of education and experience.

· To perform this job successfully, an individual must have knowledge of Windows, Microsoft Word, and Excel. Knowledge of City's MUNIS system preferred.

This role is classified in the UFCW Administration Union, as Grade A02, Step 01 startingpay is $17.63 per hour with periodic step and pay increases upon continuous completion of employment with the City of Chicopee (dependent on the starting step).
