Clinic & Patient Concierge Job Description

Duties and Responsibilities:

  • Provides excellent service to patients by answering phone calls, checking patients in and out for appointments, setting appointments, greeting patients upon arrival and selling and renewing memberships, calling inactive patients to invite them to book an appointment, log and relay member concerns to Practice Manager
  • Assists in maintaining professional, clean, and organized front desk and reception area.
  • Manages the check-in and check-out process; performs opening/closing tasks in accordance with front desk checklist.
  • Assist in administrative task including but not limited to filing and member folder maintenance, and data entry of client records.
  • Manages client facing email account and admin/vendor-facing email account; flags or forwards Director of Operations as needed.
  • Assist with social media content – liaises with graphic designers.
  • Assist in maintaining cleanliness of rooms, common areas and storage room.
  • Helps with backbar management: ensures staff is pulling product from correct area and reports any needs to Director of Operations; creates samples as necessary; fulfills pro size requests to treatment rooms
  • Assist in inventory and stocking; assists with informing the correct persons when inventory is low or needed; gathers orders for office; ensures laundry closet maintained and stocked.
  • Assists with product and supply; unpacks; inventory; distributes to rooms; reports low inventory; picks and packs online orders for shipment; schedules and tracks completion of virtual consults; prepares shipment orders for estheticians.
  • Other duties as assigned.

Work Skills/Requirements:

  • Must be customer service oriented and able to interact professionally with patients, employees, vendors, and management.
  • Must be able to prioritize and perform multiple task.
  • Must work cohesively with others in a fast paced environment.
  • General knowledge of services offered by Karee Hayes Esthetics.

Education / Experience Requirements:

  • Minimum 1 year experience in Administrative Assistant type function.
  • Experience in esthetics a plus

Physical Demands:

  • Must be able to use office equipment including but not limited to, telephones, computers, fax and copier machines.

  • Able to work flexible days and hours.
  • Must be able to lift 15-30 lbs.
  • Other duties as requested

Job Type: Full-time

Pay: $18.00 - $22.00 per hour
