Job Description Summary

The Conference & Events Coordinator will be responsible for providing support to all guests and event organizers at the location before, during and after each event. Support the Events Manager and teammates in covering events and follow up on details of scheduling. Work closely with event sponsors, vendor and personnel to ensure exceptional customer service. Provide guidance and strategic planning skills for internal and external events.

Job Description

PRIMARY RESPONSIBILITIES

  • Coordinate scheduling and planning of conference rooms for high volume internal and external meetings including set up details
  • Maintain and update schedules, calendars and agendas in a timeous manner
  • Review reservations daily and serve as liaison for Catering, Production, A/V, and Facilities
  • Respond quickly to emergency meeting situations and customer concerns
  • Conduct daily walkthrough to maintain meeting room standards and create work orders on deficiencies
  • Provide professional and courteous meeting planning assistance to internal and external clients
  • Ensure event compliance with building rules and regulations to include insurance requirements
  • Compile event documentation, maintain tracker and other administrative items
  • Maintain close communication with Facilities to ensure client needs are met
  • Responsible for adhering to operational and customer service standards

MINIMUM REQUIREMENTS
  • High School Diploma or GED
  • 2+ years of customer service experience in hospitality or event planning
  • Or any similar combination of education and experience
  • Proficient in Microsoft Office Suite (Word, PowerPoint, Excel, Outlook, Teams)
  • Strong oral, written and interpersonal communication skills
  • Ability to manage multiple tasks and work independently
  • Basic knowledge of audio-visual equipment
  • Excellent organizational skills with a strong attention to detail

The compensation that will be offered to the successful candidate will depend on factors such as whether the position is covered by a collective bargaining agreement, the geographic area in which the work will be performed, market pay rates in that area, and the candidate’s experience and qualifications.

The company will not pay less than minimum wage for this role.

The compensation for the position is: $27.88 - $35.10
