With general supervision, this position is responsible for facilitating processes related to sponsored grants and contracts for their assigned department(s) and faculty researchers. The position is expected to provide support with proposal & budget development, submission, coordination with central offices (such as the Office of Sponsored Research Services), award setup, and post-award management & reporting, and financial transactions.Job Description
Primary Duties & Responsibilities
- Independently assists Principal Investigators (PIs) with routine submissions of external grant proposals to agencies such as the National Science Foundation (NSF), the National Institutes of Health (NIH), Department of Defense (DoD), private foundations, and other sponsors. Ensures that all proposal requirements are complete and submitted to central offices (such as OSRS) and the sponsoring agency in a timely manner.
- For proposals that include subawards, coordinate with external partners to ensure that their budget and other application documents are completed and submitted in a timely manner.
- Ensures that all incoming awards are set up appropriately, coordinating with central offices such as OSRS and Sponsored Projects Accounting (SPA) as necessary. Communicate with PIs to provide them with information regarding new awards such as account numbers, approved budget, and award terms & conditions.
- Provides financial post-award support with issues such as personnel sourcing, budget adjustments, expense posting, and other transactions. The position will also be responsible for ensuring that PIs are provided with routine updates on budgets, burn rates, and available balances on sponsored projects and other departmental funds (startup, gifts, etc.).
- Provides non-financial post-award support with tasks such as progress report submissions, no-cost extensions, changes in key personnel, grant transfers, and other activities. This will often require coordination with central offices to obtain institutional approval.
- Participates in available trainings and professional development opportunities to further growth in the field of research & grants administration.
- Provides coverage to other department(s) within Arts & Sciences during busy submission periods or at other times of need as assigned by supervisor.
- Other duties as may be assigned.
Preferred Qualifications
- Bachelor’s degree.
- Experience with Workday Financials and HR, Cognos, WU & sponsor regulations, policies, and guidelines.
- Working knowledge of Uniform Guidance and regulatory requirements for sponsored grants and contracts.
- Ability to handle multiple tasks simultaneously in an environment with frequent interruptions and deadlines.
- Exceptional interpersonal skills.
- Ability to analyze calls for proposals and funding opportunity announcements and communicate requirements to PIs and other stakeholders.
- Ability to produce and analyze results of financial reports for research grants and presents/communicates trends and financial budget status and risks to PIs in easy to understand fashion.
- A self-motivated individual driven by challenge with the ability to work independently with a high degree of reliability, accuracy, and productivity.
- Strong desire for growth and professional development within the field of research & grants administration.
- Ability to manage and prioritize multiple tasks and deadlines with varying degrees of pressure; ability to exercise judgment and take corrective action.
- Ability to modify one’s own behavioral style to interact with Faculty staff, and students in a fast-paced environment, sometimes under pressure, and respond to their needs with a high level of professionalism.
- Effective interpersonal skills, good written and oral communications, remain calm under pressure, and ability to maintain confidentiality with sensitive information.
Required Qualifications
High school diploma or equivalent high school certification and three years’ experience working in accounting, grants and/or payroll.

G09Salary Range
$43,400.00 - $71,700.00 / Annually The salary range reflects base salaries paid for positions in a given job grade across the University. Individual rates within the range will be determined by factors including one's qualifications and performance, equity with others in the department, market rates for positions within the same grade and department budget.Accommodation
