Exemption Status: Non-Exempt & Full Time

Reports to: Development Manager

Job Purpose: Provide administrative support to volunteer program and Development Team. Develop new strategies for volunteer recruitment and community engagement. Ensures a steady stream of new prospective volunteers to support all areas of the organizations. Special focus on volunteer opportunities in Lake and Cook County.

Key Responsibilities:

Volunteer Program Support:

  • Be available during office hours; 8:30AM – 5:00PM a minimum of 3 days per week.
  • Assist Volunteer Program Coordinator with processing volunteer applications and placing volunteers within the organization in a timely manner
  • Support Volunteer Program Coordinator in maintaining volunteer database; Volgistics
  • Create a recruitment plan to attract new volunteers in order to meet agency needs; Develop volunteer job descriptions and collaborate across agency to fulfill volunteer needs. Recruit for thrift stores, headquarters, events, holiday, and group projects
  • Create and conduct volunteer surveys to evaluate current processes/program and guide future decision making.
  • Host special recruitment days and participate in community events to recruit new volunteers.
  • Create and maintain volunteer Ambassador Program in collaboration with Volunteer Program Coordinator.
  • Coordinate volunteer appreciation activities, including volunteer appreciation dinner, thank-yous, and recognition of office volunteers in collaboration with Volunteer Program Coordinator
  • Visit all HOS’ volunteer sites monthly or as available to develop and nurture volunteer relationships, acknowledge the volunteers and identify any additional volunteer needs or issues.
  • Stay current with new resources of volunteer recruitment connections
  • Other duties as assigned.

Development Team & Events:

  • Assist Office Coordinator & Development Assistant with inputting and maintain donor information in Donor Perfect database
  • Generate and prepare acknowledgement letters and other correspondence
  • Backup support and coverage at headquarters front desk Answer multiple phone lines and determine caller needs; transfer to appropriate person
  • Maintain confidentiality of residents, the program and phone calls
  • Assist with Development Team projects and other agency tasks as assigned
  • Collaborate with Development Team to give presentations to corporate partners, community groups, churches, high schools, civic groups and chambers to develop and cultivate volunteer relationships, funding opportunities, event participation, donation drives, and store contributions.
  • Fundraising Events: Assist with volunteer recruitment and managing volunteers the day of the event.
  • Holiday: All Development staff are required to help during the holidays; assist with donation processing, organizing holiday gift program (including all holiday donations, adopt-a-family, giving trees, etc.), and providing on site support for donation drop offs/inquiries Development Team members are required to be on site a minimum of 3 days a week or as needed during the holiday season to provide support * Marketing: Work with Marketing Coordinator to create and maintain all volunteer solicitation materials; update volunteer needs as needed, maintain recruitment websites, agency website and provide articles for sharing across social media, news and other platforms.
  • Other duties as assigned.Education and Skill Requirements:
  • Experiencing work with volunteers, group and/or donors
  • Ability to communicate effectively, both orally and in writing; strong attention to detail and follow-up
  • Excellent public speaking skills required.
  • Ability to prioritize needs across multiple sites and programs
  • Willingness and ability to travel to off-site locations to give community presentation, build relationships and collaborate with community partners
  • Occasional evenings and weekends required for events, outreach opportunities, etc.
  • Proficient computer skills including experience with Google Suite, Microsoft, Constant Contact, Canva and Volgistics or willingness to learn
  • Ability to create marketing materials and write-ups for recruitment
  • Valid driver’s license required
