Position:
Document Control and Training Coordinator

Department: Quality

Location: 4840 Fish Hatchery Rd, Grants Pass 97527

Hours: Monday-Friday 8 am - 4:30 pm

Pay: $18.00/hr


Summary: The Document Control and Training Coordinator will provide support to the Document Control and Training Team and assist with data entry, scheduling, and maintenance of Quality Management System documentation, including training materials. This person must be detail-oriented and able to perform accurate work in a timely manner. They must be able to maintain confidentiality as they encounter proprietary and sensitive documents and information. This person will understand document control concepts. Success in this role requires the ability to prioritize tasks, manage time effectively, multitask, troubleshoot, and meet various deadlines as requested. Strong interpersonal and communication skills are essential.

Essential Duties & Responsibilities include the following, other duties may be assigned:

  • Creates templates for future use, formats all logs, forms, procedures and documents into appropriate templates.
  • Manage creation, review, approval, and revision process for all documentation.
  • Maintains training system database, including entering records, tracking, and reporting.
  • Assists with scheduling training sessions and preparing corresponding materials.
  • Assist with documenting routine mock recalls and evaluating related documentation.
  • Assists with scheduling routine mock recalls and evaluating related documentation. Maintains all required documentation on these exercises.
  • Provides review support for technical documentation, including but not limited to laboratory methods, calibration records, and commissioning activities.
  • Complete departmental activity reports as requested.
  • Notifies Quality Management Team of issues or concerns related to Quality Management System.
  • Prepares reports for Quality Management Team, as directed.

Qualifications & Requirements:

  • Maintains professional and technical knowledge by attending workshops, seminars, and demonstrations deemed beneficial to the department and the company.
  • Maintains a working knowledge of relevant government and industry quality assurance standards and codes.
  • Assists with efficient team operation and continuous process improvement by participating in all team and departmental meetings as requested.
  • Willingly assists others with projects as assigned. Shares ideas on process improvement with the Quality Management Team and others, as directed.
  • Always maintains a safe work environment by following all safety rules and demonstrating a good safety attitude.
  • Current valid driver’s License
  • Ability to travel occasionally

Education and Experience:

  • Associates degree in related field preferred
  • 2 + years related experience and/or training required

Technical Requirement:

  • Excellent math and working knowledge of data analysis/statistical methods.
  • Proficient in Office365

Language Skills: Ability to read, analyze, and interpret general business periodicals, professional journals, technical procedures, botanical guides, plant identification manuals, or governmental regulations. Ability to write reports, business correspondence, and procedure manuals. Ability to effectively present information and respond to questions from groups of managers. Strong attention to detail, with solid knowledge of grammar and punctuation, ability to proofread accurately and consistently. Ability to speak and/or read Spanish is a plus.


Mathematical Skills:
Ability to calculate figures and amounts such as discounts, interest, commissions, proportions, percentages, area, circumference, and volume. Ability to apply concepts of basic algebra and geometry to solve practical problems.


Reasoning Ability:
Ability to solve practical problems and deal with a variety of concrete variables in situations where only limited standardization exists. Ability to interpret a variety of instructions furnished in written, oral, diagram, or schedule form.


Interpersonal Skills:
Ability to quickly organize and communicate thoughts, and to understand communications from others. Ability to maintain composure, professionalism, listen and respond appropriately.
