Summary:
- The document control specialist will manage documents (drawings) for the Design & Drafting department. The specialist will be responsible for managing the lifecycle of the documents from creation to storage in accordance with COMPANY standards. The primary job function will be COMPANY project support, which will include communicating with project managers, engineering firms, operations, and other project team members. Responsibilities will include fulfilling drawing requests and checking drawings for accuracy and completeness. In addition to the project-related drawing management, the document control specialist will also focus on researching and importing existing drawings from company server locations into Adept, the Electronic Document Management System (EDMS) used for drawing file storage.
Essential Duties & Responsibilities:
- Work with COMPANY project managers and 3rd party firms on projects to provide drawings as required for project.
- Work with internal design team to provide drawings as required for in-house projects.
- Develop plan and implement drawing migration from multiple server locations into EDMS.
- Respond to internal and/or external information enquiries and provide accurate and timely response to requests for information/records.
- Evaluate returned drawings to determine if they align with company standards.
- Collect, retain, retrieve, distribute, and transmit project documents.
- Maintain the integrity and standards of all regulated documentation including quality control of documents.
Requirements:
- Bachelor’s degree with 2 – 5 years of experience or equivalent work experience in Document Control Administration performing document control duties utilizing (EDMS), preferably Synergis Adept.
- Proficient in maintaining and processing Drawing and Drawing Number Requests for projects within EDMS.
- Experience in filing and scanning documents into an electronic document management system such as Adept or SharePoint and maintaining files for multiple Engineering projects.
- Ability to maintain a document retention and tracking system which ensures that all relevant documents, permits, correspondence are logged, retained, and responded to as appropriate.
- Ability to research, analyze and identify solutions to issues.
- Strong problem-solving skills.

- Excellent computer systems skills with working knowledge of computer relational databases, Microsoft Office.
- Strong interpersonal skills required, demonstrating a consistent commitment and ability to work with diverse work groups and individuals.
- Demonstrate flexibility and work collaboratively with other team members to deliver high quality service and meet internal and external client expectations and deadlines.
