This is a Full-time, year-round position in our Welcome Center at the entrance to this iconic Central Oregon Resort.
General Summary: Evening Guest Services Agents work to provide excellent service to guests and owners, anticipate guest needs, and help ensure a premier resort destination experience, while also providing data entry and processing closing procedures for the Accounting Staff!
- Winter Schedule: 2:45pm – 12am
- Summer Schedule: 4pm – 2am
Essential Functions/Major Responsibilities:
- Ensure that the highest quality homeowner and guest experience is achieved
- Maintain a professional demeanor in dress and conduct at all times
- Prepare registration materials prior to daily arrivals
- Prepares and understands folios for daily departures
- Check-in and check-out guests in our rental program via Springer Miller
- Collect access fees for guests and vendors
- Communicate with Housekeeping and Reservations about accommodation status, as well as guest needs and requests
- Stay up to date on Ranch activities and hours of operation
- General office operations; telephone, written and verbal communication
- Effectively communicate across departmental lines to ensure the needs of our homeowners and guests are met in a professional and timely manner.
- Answers phone within three rings, with follow up calls and emails completed in a timely manner.
- Runs nightly reports and prepares POS systems for the following day’s business
- Prepares reports for the Day Auditor and Accounting Department
- Communicates with the Accounting Department any abnormalities in reports or closing procedures
Other Functions:
- Ability to Handle and resolve guest and owner complaints in a positive and productive manner
- Possess and demonstrate knowledge of the hospitality industry, particularly as it pertains to guest services and reservations
- Assisting with guest accommodation relocation as necessary
- Master all programs used for check-in and reservations
- Run daily reports in multiple programs, including; SMS, POS, Registration Portal, Maxxess, etc.
- Must have the ability to work independently
- Must be willing to take the initiative to resolve night issues effectively with minimal guidance
- Must be proficient with computers, including Microsoft Word and Excel
- Other duties which may be assigned
