Western Door Federal supports domestic and international conferences and event planning required for various government functions held throughout the year by U.S. Department of State (DOS) and other government agencies. Our event planning includes the entire spectrum of event planning, conference management, all production build-out services and equipment inclusive to lighting, staging, as well as onsite support to ensure that each conference is successful.

Western Door Federal is seeking an experienced Event Planner to join our bench of consultant team members. Our consultant team members support virtual, hybrid, and in-person events as they occur, therefore work schedules are flexible based on Event Planner availability to manage the individual events. We are seeking an Event Planner based in the Washington D.C. area or nationally and the position can be full-time, part-time, or on a 1099 basis.

Roles and Responsibilities include, but are not limited to:

  • Conduct research for contracted events to include venue locations, vendors to provide services required in event scope of work, etc.
  • Work with event team to negotiate and secure contracts with venues and vendors
  • Liaise with virtual production teams
  • Provide on-site logistical support for in-person events as requested and based on availability to include but not limited to:
    • Pre-event logistics support including nametag creation, meeting reservations, dietary needs
    • General meeting coordination tasks with client and attendees (i.e., special requests, reporting technical issues, providing directions, etc.)
    • Hotel liaison
    • Registration support
  • Act as liaison between clients and vendors/subcontractors to ensure deliverables are being met on time and according to the scope of work.
  • Travel is negotiable and would include travel costs – per diem, ground transportation, airfare, lodging, etc.
  • Participate on planning meetings/calls as needed.

Basic Qualifications:

  • 3 + years of experience managing events independently.
  • Experience directly working with hotels and event venues.
  • Strong written and oral communication skills.
  • Customer service attitude.
  • Takes initiative and self-managed.

Preferred Skills:

  • Experience working with Federal agency customers.
  • Understanding of government protocol and policy.
