Role: Executive Assistant

Location: 150 Parkshore Dr, Folsom, CA 95630, USA

Duration: 1 Month (covering leave of absence)

Responsibilities:

  • Responsible for heavy calendar management and coordination of a variety of complex executive meetings and company/departmental meetings.
  • Manage all meeting details such as room reservations, preparing agendas, ensuring dial in detail are secured or any IT equipment, initializing presentations, catering and attendee updates.
  • Prepare extensive domestic and international travel arrangements including air, hotel, ground transportation and itineraries for Chief Executives.
  • Manage a variety of special projects under the direction of the Chief Executive or Senior Manager, prioritizing and following through these projects in a timely manner.
  • Collecting and prioritizing the submission of expense reports for executives ensuring all guidelines are followed and payment of such expenses is delivered on time.
  • Attends departmental meetings, taking notes as requested by Chief Executive.
  • Maintain and protect confidential corporate information and communicate information within scope of authority. Communicate and handle incoming and outgoing electronic communications on behalf of the Chief Executives.
  • Time to time fulfilment of personal tasks, as required.

Requirements:

  • Must be able to take direction, clarify if uncertain of requests, and make appropriate notes to understand and appropriately respond to Chief Executives' and Senior Manager's business needs and interface effectively and/or collaborate with others.
  • Demonstrated ability to analyze information and provide advice, solutions and recommendations on decisions.
  • Ability to take initiative and accountability for the accuracy of information and for achieving results
  • Must be highly organized and detail oriented.
  • Take ownership of assigned projects and manage from beginning to completion with little direction.
  • Anticipate the needs of Chief Executives and Senior Manager and coordinates/plans for future needs.
  • Gather feedback and continuously makes improvements to work processes and practices.
  • Continuously reprioritizes numerous projects at one time, while keeping the Chief Executives, their directs and Senior Manager updated on progress.
  • Maintain a sense of urgency when responding to internal and external stakeholders.
  • Ability to determine what needs to be done and who needs to be involved in a timely manner.
  • Be self-motivated and able to work with little or no supervision.
  • Possess strong interpersonal skills, as well as a strong customer service perspective (internal, as well as external) and can handle issues with respect, dignity, sensitivity and urgency.

Physical Requirements

Lifting/Carrying:

Occasionally carrying items weighing under 10 lbs. Rarely carrying items weighing between 11-20 lbs.

Must haves:

  • Experience with supporting one or more EVP and C Suite level leadership
  • Highly Microsoft365 proficient
  • Coupa Experience desirable
  • Ability to jump in and immediately contribute for short term engagement

Job Type: Contract

Salary: $35.00 - $42.00 per hour
