Position Responsibilities:

  • Provides administrative support to the CEO, CFO, Sr VP, US Division and internal departments including US Division, Finance, and Accounting.
  • Schedules and organizes activities such as meetings, board dinners, domestic and international travel, and department/organizational activities.
  • Maintains CEO, CFO, and Sr VP, US Division’s calendars and ensures that complete information is available.
  • Creates/coordinates yearly corporate calendar with Board and recurring internal meetings.
  • Files annual reports as mandated by individual states.
  • Manages intellectual property activity and is the primary contact for outside counsel.
  • Maintains trademarks, patents, license agreements & non-disclosures.
  • Reviews and approves all packaging artwork for IP compliance.
  • Sets up and lead monthly IP calls with counsel & internal teams.
  • Develops, maintains and updates filing systems including maintaining certificates of insurance.
  • Coordinates information relating to insurance claims to assist adjusters with processing.
  • Organizes and prioritizes large volumes of information and calls.
  • Sorts and distributes mail for the President &CEO, CFO, and Sr VP US Division and sorts for importance and urgency. Drafts responses and replies by phone or email as appropriate.
  • Answers phones for President & CEO, CFO, Sr VP, US Division, and general administration. Takes messages or fields/answers questions.
  • Responds to regularly occurring requests for information. Handles routine issues and insurance claims that don’t require CEO or CFO attention.
  • Acts as a liaison with internal departments and external contacts, including Vice Presidents, Directors, board members, bankers, attorneys, insurance agents, auditors, consumers, and solicitors.
  • Handles confidential information discretely and explains policies when necessary.
  • Works independently on special nonrecurring and ongoing projects. Acts as project manager for special projects including planning and coordinating presentations, copying and disseminating information, , and coordinating internal events and other matters as requested.
  • Designs and formats general correspondence, presentations, memos, charts, tables, graphs, etc.
  • Proofreads copy for spelling, grammar, and layout, making appropriate changes.
  • Responsible for accuracy and clarity of final presentations and correspondence.
  • Responsible for computer set-up for meetings.
  • Supports the maintenance of department finances including purchase requisitions, invoice payment, and expense report preparation and reconciliation.
  • Works with internal and external contacts to manage company’s legal administrative work under the direction of the CFO.
  • Handles consumer complaints with the insurance company.
  • Maintains legal documents, including obtaining required signatures.
  • Maintains files on pending lawsuits.
  • Plans and coordinates annual US Division meeting.
  • Manages department office supplies and IT requests.
  • Performs other duties as assigned.

Qualifications:

  • High School degree with 4 years Executive Administrative experience
  • Legal background or experience preferred
  • Excellent problem-solving skills
  • Strong organizational skills with ability to manage multiple priorities and projects and work independently
  • Good oral and written communication skills and strong interpersonal skills
  • Strong computer skills (Microsoft Word, Excel, PowerPoint)
  • Some analytical ability is required in order to gather and summarize data for reports
  • Exceptional attention to detail including thoroughness and strong follow-up
  • Ability to handle highly confidential information with discretion
  • Ability to work well across cultures, levels and functions
  • Ohio Notary Public status preferred
  • *Physical Requirements:
  • May be required to sit at a workstation for at least 8 hours per day
  • Low physical effort required to sit, stand, bend, stoop, lift, reach, and walk when working in an office environment
  • Fine manipulation when using the computer keyboard
  • Maximum unassisted lift = 35 lbs. Average lift less than 10 lbs.
  • Near and far vision and color discrimination necessary
  • Ability to communicate verbally both in person and on the telephone
  • Ability to travel domestically and internationally to visit customers, offices, and factories
