Job Summary:

The Grants and Revenue Manager is responsible for managing GMF’s highly diverse portfolio of grants, including setup, maintenance, modification, and coordinating the closeout. This position is also responsible for ensuring accurate and timely recognition of revenue, and collection of accounts receivable. The Grants and Revenue Manager prepares financial reports for all US and foreign government grants. It also supervises the work of the Accounts Receivable Coordinator

Essential Duties/Responsibilities:

Grants Management (40%)

  • Manage GMF’s portfolio of grants, contracts, and gifts, including their financial, reporting, and stewardship components.
  • Ensure all new awards are set up correctly in the grants management system and notify all stakeholders the pertinent details of the grants.
  • Track grant and contract deliverables to ensure organizational compliance.
  • Provide financial reporting to the donor and internal customers.
  • Ensure grants records are retained after the award as per funders’ specifications.
  • Ensure proper close-out of awards as per funders’ requirements.
  • Prepare and submit the annual NICRA proposal package.
  • Adjust prior year indirect cost recovery upon receipt of a new NICRA.
  • Prepare all necessary audits schedule for UG and FS audits.

Program Support (40%)

  • Provide effective grants management support to GMF’s Civil Society programs
  • Track USAID grant budget, obligations, periodic modifications, and actual expenses, provide timely financial reports to the Civil Society programs
  • Keep the programs aware of their burn rate and of any potential overspending
  • Ensure compliance with US Federal sub-recipient monitoring rules
  • Submit timely Federal Financial reports such as SF425, and SF270 to seek reimbursements
  • Assist in program/funder audits and in the grant-specific components of the organization's financial audits and the Single Audit.
  • Keep abreast of USG grants management policies, update internal guidance documents, and provide required training to Program staff.

Revenue recognition (20%)

Perform and direct revenue recognition procedures including invoicing and receivables.

  • Ensure timely booking of revenue for GMF’s portfolio of grants and contracts.
  • Follow-up with programs about achievement of milestones and the related donor billing.
  • Direct the Accounts Receivable Coordinator to issue invoices and follow up of collections.
  • Prepare revenue related annual audit schedules and support the audit process.

Knowledge and Skills Needed:

  • Minimum of five (5) years of technical grant management experience with US government issued grants, cooperative agreements, foundations, and other private funding.
  • Working knowledge of US government federal regulations such as OMB 2 CFR Part 200, Federal Acquisition Regulations; USAID Acquisition Regulations.
  • Experience with European Union and other European donors.
  • Advanced proficiency in Excel and experience with accounting and CRM software.
  • Solid analytical capabilities and excellent data presentation skills and strong writing skills.
  • Prior experience in an international, cross-cultural work environment is essential with willingness to work flexible hours on an as-needed basis to serve the needs of a global organization.
  • Proficiency in other languages a plus, especially German, Polish, Romanian or French.

Education:

  • Bachelor’s degree in Economics, Accounting, Finance, Math, or related field
