The Homeowner Association (HOA) Coordinator is responsible for HOA and City Code Violations, HOA Assessments, Correspondence Intake, and assorted Escalation items pertaining to HOA matters. These duties may be assigned in whole or in part to an individual coordinator as needed based off departmental needs.
Responsibilities:
Performs annual (or more frequent) audits of assigned portfolio HOA assessment accounts, ensuring HOA account balances are paid timely and in accordance with assessed amounts.
Processes daily mail and other correspondence items related to HOA matters from the associations in which company homes are located. Includes daily scanning and classification of received correspondence.
Disputes contested fines with HOA’s and municipalities; processes payments regarding HOA and city code warnings, hearing, and fines violations; makes payments as appropriate.
Communicates with tenants regarding violations they are responsible for; discusses violations for unoccupied homes with Property Management and Construction Departments.
Creates work orders to address and resolve HOA and City Code violations.
Completes ARC forms for HOA’s.
Addresses liens and attorney letters related to HOA and City Code violations.
Processes and addresses HOA and City Code related calls that are cold transferred to the Department for resolution.
Requirements:
High School diploma or GED required.
Bachelor’s Degree preferred.
Prior HOA experience preferred.
Microsoft CRM Dynamics, Yardi a plus.
Prior experience in Customer Service a plus.
Proficiency in Microsoft Office (Word, Outlook, and Excel) required.
Excellent verbal and written communication, problem-solving, planning and analysis skills.
Strong relationship management, organizing and customer service skills.
Must be able to meet multiple deadlines.
Must be able to maintain confidentiality.
Must be able to implement process improvement changes.
Must be able to work in a team environment.
Must be able to pay close attention to details.
Must be able to adapt and flex to a changing environment.
