SUMMARY — Under the supervision of the Assistant Director for Administrative Operations, C&R, this position is responsible for managing all aspects of nursing assessments and intake assessments for both residential camp and recreation programs. Work closely with the Nursing Supervisor, program supervisors, RIC, and nurses. Work collaboratively with all full-time and seasonal staff members, this position is based in New York City.
ESSENTIAL DUTIES AND RESPONSIBILITIES include the following and will include other duties as assigned.
Clinical Duties:
· Manage all aspects of program pre-enrollment including communication with the Referral and Information Center (RIC) staff and flow of applications in the agency database, Cx360.
· Screen all applications and work with camp health supervisor and camp staff to set up nursing assessments and intake assessments in a timely and professional manner.
· Contact families and care managers to schedule assessments and follow up on missing documents. Assist families with application forms and intake paperwork. Communicate effectively and professionally with all families and outside organizations.
· With supervisors and directors, perform intake assessments with those applying for services in recreation and camp programs.
· Oversee the management of all documents and records in the department database, Camp Doc and the agency database, Cx360. Coordinate all records between other departments and with outside entities, as needed.
· Ensure that all records are kept in a secure and confidential manner, including participant records, incident reports and other files.
· With the Assistant Director, manage details related to waiver eligibility and ensure compliance for billing.
· With the Assistant Director, help with management of scholarships and camp fees.
· With directors and supervisors, assist with the recruitment of campers and recreation participants.
· Learn and implement new systems such as MS Teams, Workplace, Camp Doc.
· Perform a wide variety of other administrative tasks such as writing reports, creating forms or spreadsheets, maintain calendars, greet families or other visitors, screen and direct calls, organize and maintain paper and electronic files, scan and make copies.
Administrative Duties:
1. Work with supervisors on orderly collection of records from the field including fire drills, trip records, encounter forms and other important documentation.
2. Ensure that all records are reviewed by appropriate supervisors in the correct timeframe.
3. Manage all aspects of incident reporting in IRMA
4. Ensure that records are maintained in the department in an orderly manner. This includes participant records in both camping and recreation programs, incident reports and all other files maintained in the department.
5. During the summer months, supervise, train, manage and evaluate interns in accordance with duties. Be responsible for coordination of staff, tasks, information systems, documents and files as instructed.

EDUCATION and/or EXPERIENCE
- Bachelor's degree preferred but similar experience considered.
- At least two years' experience in camp operations.
- At least one year of experience in office systems as it pertains to this population and to camp administration.
- At least one year of supervisory experienced preferred.
LANGUAGE SKILLS
- Ability to communicate effectively both orally and in writing. Ability to write basic reports. Ability to effectively present information and respond to questions from managers, consumers, parents/guardians, and the general public. Bi-lingual in Spanish helpful.
MATHEMATICAL/ COMPUTER SKILLS
· Bachelor’s degree in a related field
· Two (2) years’ experience providing administrative support in a similar setting
· Ability to communicate and work effectively with a variety of stakeholders including colleagues, supervisors, families, people supported, CCOs and other referral sources.
· Solid organizational and time management skills
· Bilingual in Spanish highly desirable
· Competency in MS Office systems required and ability to learn and work in other software
· systems such as the agency database Cx360 and the program software, Camp Doc.

Must be able to review processes and workflows and implement improvements if needed. Must be able to accept change and be pro-active in helping transitions to occur. Must recognize the goals (and workload) of the department as a whole and will be expected to offer assistance, advice, or ideas regularly. Must possess the ability to make independent decisions and handle stressful situations when circumstances warrant such action. Must take ownership and responsibility for all assignments.

Pay: $30,000.00 - $35,000.00 per year
