Minimum Qualifications:

Associates degree or equivalent, and three (3) years relevant office experience in a healthcare environment, or one (1) year in medical staff/credentialing activities. Medical Staff Services Department experience preferred. Knowledge and understanding of the credentialing process.


Job Summary:

To coordinate and assist the Director in the administrative and medical staff activities of the Medical Staff Department.


Major Duties:

  • Assists all visitors to Department, and answers Department telephones with an emphasis on accuracy and positive customer service.
  • Prepares and processes requisitions for office supplies and travel arrangements.
  • Prioritizes daily work assignments and adheres to work deadlines.
  • Develops and/or maintains the office records and correspondence filing systems.
  • Reconciles budgetary information to ledgers or spreadsheets to include, but not limited to the collection of Medical Staff dues.
  • Assists in the preparation of the departmental budget.
  • Acts as department liaison with other departments and agencies regarding inventory control, building services, equipment, and maintenance repair, purchasing, safety and other administrative matters.
  • Opens and distributes incoming mail; prepares outgoing mail.
  • Acts as Trusted Requestor for the Clinical Content and Medical Staff Services Departments.
  • Prepares agendas and related materials for Medical Staff Executive Committee meeting.
  • Disseminates correspondence related to credentialing actions.
  • Maintains UTMB Credentials files to assure all license and certifications are filed in a timely manner.
  • Logs, scans, and processes a variety of transactions related to credentialing timeframes and follow up for reporting purposes.
  • Assists Director with Managed Care Audits.
  • Works under the supervision of the Medical Staff Services Director or Manager.
  • Performs related duties as required.

Equipment:

Proficiency in industry related software applications (CACTUS) preferred. MS Word, Excel, Power Point, Access, and Outlook email applications. Knowledge of digital and audio-visual equipment.


Working Environment:

Standard hospital, clinical and/or office environment. Primarily works inside, but physical ability to walk throughout the facility/campus as needed. Physical ability to re-arrange books and push/move/carry files. Requires frequent bending, reaching and repetitive hand movements.


Salary Range:

Actual salary commensurate with experience.
