Position Purpose: The purpose of this position is to greet the public, provide information and perform responsible administrative, clerical and record keeping work to assist the Community Services Director; performs all other related work as required.
Supervision:
Responsibility: Performs varied and responsible duties requiring a thorough knowledge of departmental operations and the exercise of considerable judgment to independently complete assigned tasks and analyze the facts or circumstances surrounding individual problems in situations not clearly defined by precedent or established procedures.
Supervision Received: Works under the general direction of the Community Services Director unusual situations or questions are referred to supervisor.
Supervision Given: None.
Job Environment:
- Work week is thirty-five (35) hours per week, full time position.
- Work is performed under typical office conditions; the noise level is moderate at times. Operates a computer (and associated programs and software), telephone, facsimile machine, copier, typewriter, and other standard office equipment.
- Makes frequent contacts with the general public and other town employees. Contacts are in person, in writing, and by telephone and involve an information exchange dialogue.
- Errors could cause confusion and delay of department services, have legal and/or financial repercussions, and result in adverse public relations.
Essential Functions:

- Responsible for maintaining filing system; assists the Community Services Director in maintaining and updating software systems and documents.
- Performs various clerical duties, including filing, record-keeping, phone, data processing, etc. Receives and logs calls and files material as received.
- Responsible for greeting the public and directing them to appropriate personnel, activities, areas, etc.
- Typing and use of basic Microsoft programs, including Word, Excel, Access, Outlook and Department specific programs required.
- Ability to follow orders and use independent judgment when needed to successfully complete assignments.
- Ability to communicate clearly both orally and in writing.
- Ability to understand and explain basic department services and programs and able to access basic information for visitors when appropriate.
- Responsible for updating Town website with relevant and appropriate content as needed. Assisting with social media posts, e-newsletter submissions, email reminders, and other public communications as applicable.
- Responsible for scheduling for department(s), public areas, and/or programs. Responsible for scheduling the Truro Community Center with outside organizations and town departments.
- Assists Community Services Director with press releases, department budget, payroll, personnel scheduling and grant bookkeeping.
- Ability to exhibit patience and diplomacy with the public.
- Responsible for ordering supplies and monitoring inventory.
- Responsible for collecting / tracking data and compiling reports.
- Complete other relevant tasks as needed.
- Interacts with fellow employees and the public in a professional courteous, helpful, respectful, and amiable manner and be willing to lend assistance where needed.
Performs similar or related work as required, directed or as situation dictates.
Recommended Minimum Qualifications:
Education and Experience:
High school education with courses in office procedures and business practices; three years of progressively responsible office experience; one-year experience in a human / community services agency desirable; or any equivalent combination of education and experience.
Knowledge, Ability and Skill:
Knowledge: Thorough knowledge of office procedures, practices and terminology. Complete knowledge of the use of office and data processing equipment. General knowledge of community and of gerontology helpful. Basic knowledge of bookkeeping techniques. General knowledge of local government and its operations helpful.
Ability: Ability to deal with the public in a courteous and tactful manner. Must be courteous, helpful and respectful and lend assistance where needed. Ability to maintain multiple filing systems. Ability to attend to a number of details occurring simultaneously and do so with accuracy. Ability to communicate effectively with the public, coworkers, other employees, departments, officials, and other agencies.
Skill: Excellent customer service and public relations skills. Skill in the use of computer technology, bookkeeping, and record keeping. Skills in operating above mentioned equipment.

Regularly required to maintain a stationary position, move about the inside of the building, position self to reach low objects (objects under desks, in filing cabinet drawers); must be able to manipulate objects, tools or controls, and be able to pick up and use paper, books, and other common office objects. Ability to communicate with members of the public and exchange accurate information. Ability to view computer screens and work with details for extended periods of time. Ability to operate a keyboard and calculator at an efficient speed. Ability to move / set up small equipment (up to 30 lbs).
