Job description
This is an exciting role for an Office Manager to join our US Team, supporting our business operations in New York. You’ll be the go-to person, providing ‘local knowledge’, contacts and information to ensure the smooth running of our US office.
You’ll be working closely with our US Teams, as well as being closely connected to the HQ Teams, and responsible for a range of tasks including administrative requirements, coordinating deliveries, day to day office operations, as well as some key projects such as our office relocation, getting our show room up and running, and acting as our Feel Good Champion for the US Team.
The Responsibilities:
- Managing all office operations, ensuring everything runs smoothly, including overseeing the maintenance or set up of office equipment for new or existing employees, managing office supplies, managing incoming and outgoing mail, and coordinating with vendors.
- Create a welcoming environment in the showroom, ensuring a positive experience for all customers.
- Help prepare the showroom for market, greeting customers upon arrival, supporting team as needed during appointments with beverages and lunch orders.
- Working with Sales Assistant in coordinating sample deliveries and storage. Maintaining an organized sample closet so product can be easily accessed.
- Coordinating, sending and accepting any deliveries of office equipment and product, as well as arranging the sending of any product to key customers.
- Be the first point of contact for the US Teams, and happy to support with a range of things from IT questions, organizing meetings, and any ad-hoc events such as team meetings and get togethers.
- Support the People Team with planning of new starter induction planning.
- Plan and arrange group events such as Holiday parties and other events through the year.
- Manage any expenses for the office and ensure receipts are submitted to our Accounts Payable Team on a monthly basis.
- Support the Mercer St Store Operations when required.
- Act as FitFlop’s Feel Good Champion for the US, as part of our Global Feel Good Programme.
- Take ownership of the office relocation, including management and coordination of key suppliers and stakeholders.
- Ensure that our New York Showroom is always looking pristine, and ready, especially when we have customers coming into meet with our Sales Team.
The Person:
- Great experience in Office Management, ideally within a fast paced retail environment.
- Excellent communication and organizational skills, with amazing attention to detail.
- Comfortable working with multiple departments simultaneously and leadership teams across the US, and globally.
- Outgoing, take charge candidate willing to take a hands on approach.
- Experience in coordinating and managing vendors and stakeholders such as courier services, utilities, etc.
- Social event organization experience is ideal.
- Previous experience of coordinating an office refurbishment/relocation (or similar type of project) is ideal.
- High School Diploma, GED, or equivalent.
- Two to three years minimum experience in an office setting is required.
- Proficient in Microsoft Office Software.

Pay: $50,000.00 - $70,000.00 per year
