Responsibilities

  • The Office Manager serves as an integral member of ODL’s administration team who is responsible for the oversight of daily office management and provides support for human resources and budgetary activities.
  • Responsible for performing a wide variety of high-level office and administrative support to facilitate the administrative operations of the department. These activities include: preparing, routing, and tracking HR paperwork; reviewing and managing leave and time entry process; processing vacancy announcements and new appointments; and initiating, reviewing, and updating position profiles in OMNI.
  • Prepares and submits work order requests to Facilities and coordinates office repairs and changes. Reconciles phone bills, prepares and submits ITS requests for phone repairs or replacement orders.
  • Monitors and purchases departmental supplies, ensures that maintenance for vehicles are kept up-to-date, processes and prepares vehicle maintenance requests, coordinates movement of vehicles for game days, responsible for checking and processing mail daily.
  • Serves as property Custodian for department’s inventory.
  • Serves as a p-card holder and assists the fiscal unit with purchasing and travel requests.

Qualifications


A Bachelor's degree and four years of experience; or a high school diploma or equivalent and eight years of experience. (Note: a combination of post high school education and experience equal to six years.)

  • Ability to communicate effectively verbally and in writing.
  • Ability to establish and maintain effective working relationships.
  • Ability to develop and implement policies, procedures, goals, and objectives.
  • Ability to evaluate process effectiveness and develop change or alternatives.
  • Knowledge of applicable computer applications and basic computer functions.
  • Ability to gather, interpret, report, and/or edit information.
  • Ability to perform accurately in a detail-oriented environment.
  • Ability to prioritize, organize and perform multiple work assignments simultaneously.
  • Ability to utilize problem-solving skills.
  • Ability to develop and implement policies, procedures, goals, and objectives.
  • Ability to perform assigned responsibilities with minimal to moderate supervision.
  • Ability to meet project deadlines.

Preferred Qualifications

  • Skill in preparing clear and concise reports, policies, procedures, correspondences, and other written materials.
  • Knowledge of principles, practices, and standards of human resource administration in assigned area.
  • Knowledge of electronic data processing as it applies to fiscal and accounting activities.
  • Knowledge of the concepts, principles, and practices of accounting, budgeting, and cost control procedures.
  • Knowledge of and ability to interpret and apply related federal, state, and local laws, ordinances, rules and regulations.
  • Knowledge of and the ability to interpret and apply related University policies, procedures, principles, and practices.
  • Knowledge of OMNI / HR
