Bella Vie is an Out-of-Hospital Birth Center located in Hopewell, Oregon (approx.15 min. from downtown McMinnville and Salem). We seek to empower women and families as they journey through pregnancy, birth, and the postpartum period. We also offer integrative gynecological and well women care.
We are looking for a highly-motivated and driven Office Manager/ Billing Assistant to work along side our Practice Manager to run our clinic and support our billing team. The owners are remote so most communication/ management meetings will be over phone or video chat.

Must have the ability to multi-task in an extremely fast paced environment, are able to manage time effectively, are highly organized, able to stay focused, directed, and are self-motivated without supervision. Applicant must have excellent analytical, critical thinking, problem-solving and communication skills (both verbal and written). Need to be friendly with our clients & staff, a strong team player, and are able to be flexible with job duties as this position requires wearing many hats. The ideal candidate would also have respect and understanding for "out of hospital" birth.
You will be managing our clinic and support our biller(s). Tasks include, but are not limited to the following :
- Work with our Practice Manager to oversee employees and tasks necessary for efficient day-to-day operations
- Evaluate and review office production and procedures to develop new ways to improve efficiency with office operations, patient retention and profitability
- Facilitate monthly staff meeetings and oversee facility inspections
- Manage scheduling of venders and various projects
- Support with answering phones, scheduling client appointments, making reminder calls, tidying waiting room, kitchen, and bathroom as needed
- Assist clients getting set up in their client portals, set up payment plans, and ensure that payment discrepancies/ non-payment for services provided are resolved in a timely manner to optimize revenue and cash flow
- Collect out-of-pocket payments (co-pays, deductibles, past due balances). Must have comfort with clearly asking for payment, and other collection practices
- Support with insurance insurance benefit verifications, billing, tracking, and account reconciliation/accounts receivable. Must feel at ease with contacting insurance companies on a very regular basis to follow up on claims and to dispute claims that are not paid appropriately
- Maintain organization & completeness of billing records, including filing of documents according to medical record guidelines
- Properly interpret EOBs and contact insurance companies to troubleshoot regarding uncollected payments (training available)
- Keep track of current specific payer billing requirements and establish effective working relationships with payer representatives
- Assist Midwifery team with records requests, credentialing and recredentialing paperwork, prior authorizations, etc.
The following qualities and skill sets are required for this position:
- Must have at least 3+ years management experience in an office environment
- Must be reliable, trustworthy and able to maintain confidentiality of sensitive information
- Must have strong computer skills: Ideally would be experienced with Macintosh Computers and Scheduling & Medical software (EMR experience a plus)
- Must be energetic, a self-starter, & internally driven, have a take initiative work ethic, but also able to take direction with various office and billing tasks
- Must have strong management skills
