Haymarket Media, Inc. is seeking an Office Manager/Receptionist to join the Haymarket Media team. This position is located in our New York office.
Job Overview:
Be at the center of our dynamic office and work with a diverse, energetic and driven team at a vibrant and growing media company. This position is based in our office in NYC’s convenient neighborhood of Chelsea and will manage the day-to-day office operations to ensure an organized, effective and safe environment. The Office Manager will be the ‘go to’ person for any office-related questions and needs to be proactive in addition to being responsive, extremely organized and able to communicate positively and professionally. This position is also responsible for reception and supporting customer service; and as such the role must support a positive environment for staff, customers and visitors.
Reception Responsibilities:
- Provide professional and personable greeting at main reception and contact team members to alert of arrived guests
- Answer Haymarket general phone line and direct calls and provide any assistance required
- Respond to customer service inquiries via the customer service phone number and email address
- Manage visitor requests in visitor system
- Receive and organize inbound mail and post all outgoing mail for pick up
- Receive inbound deliveries and contact recipient, arrange for outbound deliveries and pickup
- Assist with meeting room reservations
- Manage coverage for front desk
Office Responsibilities:
- Overall professional appearance and operation of office, working with day porters and provide any necessary direction to cleaning staff to ensure a clean, organized and safe work environment
- Confirm office ready for the business day each morning - reception and common areas organized (conference rooms, reception, printer areas, cafe and freight areas) for the start of the business day. In collaboration with day porters, check stock pantry areas with supplies, coffee, milk and snacks and ensure restrooms have been appropriately handled by evening cleaning staff.
- First point of contact with building staff. File service tickets and liaise with building management on any service-related requests. These may be proactive requests to ensure ongoing maintenance or may be requests received from staff.
- Work with various departments and suppliers to ensure deliveries, storage and files are appropriately stored and hallways and exits are kept clear and compliant
- Main point of contact with building staff and superintendent
- Maintain inventory of office and food supplies including pantry items, coffee, water, general office supplies and assist in ordering and maintaining budget.
- Manage food orders and deliveries to stock pantries – including coffee, milk, snacks, etc.
- Manage vendors and contracts for office services (i.e. water coolers, coffee machines, copier maintenance, phone system, etc. Code and track all invoices related to office related costs.
- Communicate with employee base with any alerts or updates related to office operations
Skills and Requirements:
- Office management, administrative and/or receptionist experience
- Positive and professional attitude

- Ability to handle wide range of administrative and facility responsibilities
- Knowledge of G-Suite and Microsoft Office a plus
