Operations Administrative Assistant
Job description
JOB SUMMARY
The Operations Administrative Assistant provides direct administrative and clerical support to Operations Management. Coordinate and plan appointments and travel schedules for Operations Manager, other staff members as needed. This role is responsible for managing the flow of information with the Operations group as well as other key stakeholders. Coordinate business and personal schedules for Operations Management.
PRINCIPLE DUTIES AND RESPONSIBILITIES
- Support Manufacturing Supervisors with any administrative needs.
- Provide Support to the Manufacturing Supervisors for time and attendance, vacation tracking and other business systems.
- Manage the attendance points log and notify supervisor of employee attendance issues.
- Track employees ending probationary period and the annual employee review schedule.
- Monitor, track and communicate monthly metrics to ensure on-time hourly performance evaluations based on the required timing of the evaluation cycle.
- Organize and maintain all Department Meetings and follow-up actions.
- Accumulate and sort data to produce information for analysis in support of our Continuous Improvement system, business reviews and other employee communications.
- Use electronic time and attendance system (Kronos) to prepare bi-weekly hourly payroll for timely upload into ADP payroll system and reconcile any discrepancies to generate accurate and on-time payroll.
- Coordinate schedules of the Operation Team, as well as inside & outside training activities.
- Produce professional documents and reports to support daily, weekly and monthly metrics.
- Support HR audit processes.
- Organize and maintain quality and production records for internal/external ISO audits
KNOWLEDGE, SKILLS & ABILITIES
- Must exercise considerable initiative and enjoy working independently.
- Must be discreet and confidential in dealing with information regarding sales and profit reports, bonus compensation. Must be tactful and professional in manner and verbal communication.
- Highly proficient in Microsoft Word, Excel, PowerPoint and experience with mainframe or MRP systems.
- Self-starter with ability to follow through on projects and assignments.
- Good organizational skills and enjoy working in a team environment.
- Ability to coordinate multiple communications between departments.
- Maintain productivity in fast-paced environment while determining project priorities.

EDUCATION AND EXPERIENCE
Required Education / Experience
- High School Diploma or equivalent
- Extensive knowledge and experience utilizing in electronic time and attendance system
Preferred Education / Experience
- Associate’s degree in business related field
- Clerical in production and/or materials
- Account knowledge is a plus

Job Type: Full-time
Pay: $18.00 - $22.00 per hour
