Acara Solutions is seeking a direct hire Order Entry/RMA Coordinator for a manufacturing representative in Amherst, NY. The ideal candidate has experience in purchasing, order entry, or a similar position requiring attention to detail.

Location: 100% onsite in Amherst, NY
Hours: 8am-5pm, M-F
Pay: $50,000/yr


Responsibilities and Duties:

  • Enters appropriate customer order information into the computer system in an efficient and accurate manner
  • Review's customer purchase orders/order documents for accuracy and completeness and notifies responsible party if information is inaccurate or incomplete
  • Processes requests for return materials and notifies appropriate personnel when necessary to include
    • Contacts requestor for clarification or missing information as needed
    • Contacts vendors for RMA (Return Material Authorization) information when needed, consolidates returns for maximum return credit
    • Processes appropriate paperwork for materials returned without an RMA
  • Verifies factory order acknowledgements match purchase orders, investigates discrepancies and contacts appropriate personnel for corrections
  • Receives and responds to customer inquiries in a prompt and courteous manner
  • Assists other departments as needed
  • Performs various clerical duties
  • Prints and reviews open order reports and investigates unbilled orders



Required Skills / Qualifications:
  • High School diploma or general education degree (GED)
  • 2 or more years of purchasing, order entry, or a similar position requiring attention to detail.
  • Perform basic math functions with accuracy and consistency (add, subtract, multiply, divide, percent, decimals, fractions)
  • Have excellent computer skills with proficiency in Excel, Word, and Outlook and operate basic office equipment (printer, copier, phone, calculator)
  • Strong time management and organizational skills with the ability to work well under pressure, deadlines, and rapidly changing priorities
  • Communicate effectively with others, especially with colleagues and supervisors.
  • Ability to work independently and as part of a team

Preferred Skills / Qualifications:
  • 2+ years of previous order entry experience
  • Be creative and flexible, with a no task is too small attitude and willingness to learn and contribute
