JOB SUMMARY:
The Product Sales and Procurement Assistant will be responsible for projects and administrative tasks supporting the successful execution of the Girl Scout Product Sales Programs and procurement support. The incumbent will serve as a representative of the Girl Scouts of Northeast Texas and should possess great verbal and written communication skills.
ESSENTIAL FUNCTIONS:
- Provide excellent customer service to members at large of Girl Scouts of Northeast Texas.
- Provide accurate, efficient and helpful support to internal and external customers of Girl Scouts of Northeast Texas.
- Complete administrative tasks that support event, reward, training, etc. This includes but is not limited to calls, faxes, texts, mailings, compiling spreadsheets, editing records, etc.
- Ensure customers, vendors and employees are handled in a professional and courteous manner.
- Promote customer service focus and approach in all areas of job performance.
- Compile data and reports, upon request, in a timely manner.
- Support the Product Sales Team with tasks including, but not limited to:
- Retail booth sale agreements over the phone and confirm via phone, email, mail, and in person as required, etc.
- Reward receiving and reward distribution.
- Council cookie cupboard management and staffing.
- Reward and programmatic events.
- Mailings and distribution of materials.
- Other tasks as assigned.
- Support the Procurement Team with tasks including, but not limited to:
- Perform organizational purchasing for events, camps, programs, general supplies, contracted services, technology, and operational needs.
- Utilize various non-profit purchasing cooperatives to obtain competitive pricing and take advantage of discounts or in-kind donated goods/services.
- Utilize purchasing portals including Amazon.
- Provide account coding and purchase approvals to Accounting.
- Monitor Procurement email box
- Other duties, as assigned.
OTHER
- Must be able to travel within established geographic areas and council service centers, as necessary.
- Must have reliable transportation, hold a valid drivers’ license and meet GSNETX driving record & automobile insurance requirements.
- Performs other duties and administrative functions, as assigned.

JOB REQUIREMENTS—Knowledge, Skills & Abilities (KSA’s):*
- At least 2 years of relevant work experience, strong interpersonal skills.
- Expected to work a flexible schedule that will include mornings, evenings and some weekends.
- Self-motivated and able to work with a minimum of supervision
- Excellent verbal, written and interpersonal communication skills
- Experience with Microsoft Excel
- Ability to meet deadlines under pressure
- Highly organized and efficient in accomplishing work tasks
- Regular and prompt attendance required
- Ability to work collaboratively in a team environment

The employee must be able to drive and have a valid driver’s license. The employee must occasionally lift and/or move up to 25 pounds. Specific vision abilities required by this position include close vision, distance vision, color vision, peripheral vision, and the ability to adjust focus. The noise level in the work environment is usually moderate.
