Project Coordinator Job Description

1. Provide administrative support for office staff including these tasks: a. Administrative support includes filing, dictation, ordering materials, returning calls, etc. b. Scheduling meetings and appointments c. Order materials for projects

2. Specific tasks to support Project Managers a. Prepares P.O.’s / Subcontract agreements b. Prepares Simeral invoices c. Prepares and assists with all Change Orders; enters change orders into Sage d. Assists, prepares and submits project submittals. Help manage jobs using Procore.

3. General office administrative support with the following: a. Tags and prepares all invoices to Simeral received via e-mail b. Answering phones c. Point person to open all job numbers (9992, 118, 218, etc.) d. Updates contact information in Sage. e. Assist with with IT support f. Responsible for company phones g. Responsible for office phone recordings h. Responsible to update job lists i. Is a Notary as needed for verifying signatures on documents j. Handles internal and external mail, Fed Ex, etc. k. Washes dishes in Kitchenette l. Orders office supplies m. Answer incoming telephone calls n. Distributes internal mail o. Tags and prepares all invoices sent to Simeral received via snail mail p. Once a job number is opened sets up folders on computer/server q. Updates annual job lists and alphabetical job lists r. Maintains copier, fax, postage meter, etc. s. Updates contacts (as given the correct information from PM’s) t. Scanning job files u. Organizes safety logs and Toolbox talks v. Clean Kitchenette at end of each day w. Maintains and secures Insurance Certificates x. Mails all checks y. Runs and distributes weekly job costs z. Completes close out manuals for all residential jobs aa. Organizes agenda and documents for safety meetings

4. Responsible for the following during bidding: a. Manages Invitation to Bid on all projects b. Distributes addenda c. Sets up FTP site d. Assists with bid forms and bonding forms e. Calling Subcontractors f. Assist with securing a specific bid or material listed in the documents

5. Performs the following Accounting tasks under Controllers oversight: a. Enters all invoices into Sage b. Enters budgets/estimates into Sage c. Responsible for certified payroll d. Filing AP invoices

Job Type: Full-time

Pay: $20.00 - $28.50 per hour
