Summary:

The primary responsibility of the Purchasing Assistant is accurate and timely issuance of Purchase Orders to support Glenn Rieder operations. This position is also supports administrative functions within the Purchasing department, including answering the company’s main phone line and front door.


Essential Job Functions:

  • Procurement
    a. Review material takeoffs (MTOs), solicit quotes from vendors, and issue timely purchase orders (POs) to meet Glenn Rieder project schedules and budgets. Includes both production material and samples.
    i. Verify lead times meet project schedules.
    ii. Verify budgets and maintain PO budget tracker to track purchasing variances.
    b. Review order confirmations to ensure vendor order accuracy.
    c. Perform follow-up with vendors to ensure orders are shipped and delivered on promised dates.
    d. Coordinate with stakeholders (Engineering, Materials, Shop, Project Management) to select alternate materials, when needed.
    e. Manage, inventory, and order office supplies, as-needed.
  • Purchasing Administrative Assistance
    a. Maintain records of purchases, shipments, and related matters.
    b. Maintain financial documents to support monthly credit reconciliations.
    c. Maintain regulatory documents (FSC) are maintained according to FSC requirements.
    d. Assist with sample preparation and inventory in coordination with the Technical Finish Specialist.
    e. Serve as primary representative to answer calls to Glenn Rieder general phone line and greet visitors at front door.
    f. Function as backup support to the Purchasing Manager, when necessary.
  • General
    a. Maintain an organized queue of work (in-process and completed).
    b. Update Material Trackers with PO information and delivery dates to maintain project-wide visibility.
    c. Additional duties, as assigned.

Qualifications/Certifications/Experience:

  • Associate degree in Business, Supply Chain, Purchasing, Merchandising, or a related field.
  • Minimum 3 years of previous Purchasing, Customer Service, or Administrative experience
  • Strong written and verbal communication skills.
  • Excellent multi-tasking, organizational, and prioritizing skills.
  • Internet savvy, and proficient in Microsoft Office applications.
  • Demonstrated ability to work both independently and as part of a team.

Specific vision abilities required by this job include close vision, peripheral vision, depth perception, and the ability to see and differentiate color and to focus.
