The Opportunity
We are seeking a highly driven administrative professional with a proven track record of getting things done in a fast paced real estate office setup. The ideal real estate office assistant/administrator will be a dependable member, who will efficiently assist the Property Manager in a timely manner. We welcome self-starters and multi-taskers willing to step up and deliver results, beyond the given job description.
The Role
Candidates must have prior real estate experience and be able to perform a variety of tasks (but not limited to), filing and documentation, customer service, financial data entry, calendar scheduling, vendor management and miscellaneous support functions for the management team. Your job will include working with contractors and their subs on construction projects, getting detailed estimates, and supervision of work based on Tenant needs.
In this role, you will be handling invoices, collections, notices, coordination with team members, providing daily and weekly progress reports, identifying upcoming needs or challenges and being a leader by being ahead of the curve. Essential Duties and Responsibilities of the position:
- Organize and maintain all the office and business-related documents such as vendor information, invoices, notices, letters, tenant correspondence etc.
- Identify and manage vendors, service providers and contractors
- Communicate with customers, tenants and staff regularly
- Marketing & HR related assistance
- Ability to perform basic bookkeeping duties.
- Resolve billing or payment discrepancies, post payments, organize and filing deposit receipts, leases and invoices
- Receive, sort and deliver all incoming mail & packages
- Assist Property Manager and CEO with various day to day tasks
- Prepare reports or presentations as scheduled or requested
- Assist with payroll and time sheet correlation
- Arrange for travel, business lunches and catering as needed
Knowledge, Skills and Abilities
- Foster relations with tenants and prospects
- Strong work ethic, displaying a sense of urgency to perform at a high level
- Ability to understand detailed instructions and work independently
- Ability to perform routine office functions and be excellent in Internal communications
- Ability to provide coverage for occasional overtime and meet deadlines when needed
- Strong spoken and written abilities in English and good interpersonal skills
- Maintain a professional appearance at all times
Minimum required qualifications
- Minimum 4-5 years of experience as an office assistant/admin in the real estate industry
- College degree is preferred, high school is a must Proficiency in QuickBooks
- Proficiency in MS Office Suite
- Physical activity requires occasional bending, reaching, lifting, walking, professional tours of the property and prolonged periods of sitting or standing. May lift and/or move up to 30lbs
