RECREATION CUSTOMER SERVICE SPECIALIST
(30 hours/week with benefits)
ABOUT THIS POSITION:
Expected Hiring Rate: $22.82/hr.
Location: John M. Brown Community Center, 53 Hunter Street
Schedule: Rotating Schedule: Week #1 (3pm-9pm Mon.-Fri.) Week #2 (10am-2:30pm Mon.-Fri.) and (8:30am – 6pm Saturdays)

WHAT YOU WILL BE DOING (DESCRIPTION):
In this position, you will perform a variety of responsible public contact and administrative duties in support of
departmental programs and facility activities at the Town of Apex Parks Recreation & Cultural Resources Department.
A SAMPLE OF THE ESSENTIALS (DUTIES & TASKS):
- Assists Supervisor with new hire scheduling, training, orientation and tours; schedules LSE's
for night and weekend work. - Manages Dog Park registration process including initial and renewals; develops procedures
for Dog Park program; updates database software; tracks specialized software issues. - Takes messages, forwards calls, and assists staff with visitors; distributes mail.
- Accepts and records fees and payments; prepares invoices for vendor payments; performs
daily center accounting, processes program and rental refunds and prepares bank deposit. - Operates maintenance software system to alert parks staff to repair and cleaning
requirements for various facilities. - Creates and updates program registration, shelter rental and facility rental forms.
- Answers requests for information from customers or the general public who use the Town's
services; identifies procedures that address needs or refer customer to proper staff
member; follows-up with customers or other processes to ensure proper disposition. - Compiles information using standardized forms, procedures, or specific instructions; enters
information into spreadsheets, data bases, etc.; uses word processing, spreadsheet and
publishing programs; types letters, reports and other materials; proofreads materials. - Drafts and creates letters, reports, and other materials; proofreads materials such as
program guide and publications; creates email blasts. - Creates records by posting general program activity on established forms, files, and other
record keeping devices.
Additional Job Duties
- Backs up other clerical or departmental personnel, as needed.
- Performs related duties as required.
WHAT YOU'LL NEED (MINIMUM MUST-HAVES):
Graduation from high school and extensive administrative or clerical experience involving public
contact and document production; or an equivalent combination of training and experience;
graduation from college and some experience working in recreation preferred.
WITH THE ABILITY TO...(KNOWLEDGE, SKILLS AND ABILITIES):
- Considerable knowledge of office practices and procedures, grammar, and punctuation.
- Considerable knowledge of word processing, data base maintenance, spreadsheet data
entry, and other specific information technology applications. - Considerable knowledge of department or program policies, regulations and procedures,
and of recreation programs, procedures and policies. - Skill in customer service including problem-solving and conflict resolution.
- Ability to utilize on-line registration and data-base programs, to troubleshoot software issues
and work with program staff on registration and software issues. - Ability to communicate effectively in person and by telephone.
- Ability to follow oral and written instructions and procedures
- Ability to gather and give information and instructions on departmental programs based on
inquiries. - Ability to type and/or enter data with accuracy at the speed required by the particular
program or position utilizing the services of this role. - Ability to learn and apply filing and coding systems and to arrange and place records,
reports, and files into a proper sequence. - Ability to compile information from data processed or records kept.
- Ability to establish and maintain effective working relationships with the general public and
other employees.
PHYSICAL REQUIREMENTS:
- Must be able to physically perform the basic life operational functions of standing,
walking, fingering, talking, hearing, and repetitive motion. - Must be able to perform sedentary work exerting up to 10 pounds of force occasionally
and/or a negligible amount of force frequently or constantly to lift, carry, push, pull, or
otherwise move objects. - Must possess the visual acuity to prepare figures and data, operate a computer, make
visual inspections, proof work, and do extensive reading.
