POSITION TITLE:
Clerk, Registrar (JDC)



JOB DESCRIPTION:


Primary Purpose: To collect, maintain, and disseminate all information pertaining to present and former Juvenile Detention Center (JDC) students attending grades 4-12.


RESPONSIBILITIES:


Major Responsibilities and Duties
  • Enroll and withdraw JDC students.
  • Maintain accurate and up-to-date cumulative files, including grade reporting, official transcripts, enrollment and withdrawal documentation, and other necessary pupil information.
  • Maintain accurate and up-to-date PEIMS data on each enrolled and withdrawn student through Student Management System and PEIMS reporting measures.
  • Complete, maintain, and communicate electronic student records as required.
  • Communicate all pertinent enrollment and withdrawal information to instructional staff and county officials
  • Prepare and submit attendance data for school and county officials.
  • Collect, prepare, and communicate student grades to appropriate personnel.
  • Attendance at work is an essential function.
  • Other duties as assigned by the supervisor or designee.

EXPERIENCE:


QUALIFICATIONS:


Minimum Education/Certification:
  • High school diploma or G.E.D.
  • 30 credited college hours or five years of experience as a secretary or similar office experience preferred
Special Knowledge/Skills:
  • Working knowledge of general office procedures and office equipment
  • Strong skills in organization, technology and working with data management systems
  • Ability to greet the public both in person and by telephone
  • Ability to work in an enclosed, secured environment with little interaction

OTHER INFORMATION:


Equipment Used: Computer, printer, copier and other office equipment. Working Conditions: Mental/Physical Demands/Environmental Factors: Ability to concentrate on detailed work, communicate effectively (both verbal and written), implement district and county policy and procedures; ability to work in an enclosed, secure environment with little interaction. Moderate lifting and carrying (15-44 pounds), use of fingers, walking (intermittent), specific visual requirements (using computer and other electronic devices), specific hearing requirements (phone conversations and responding to students). Outside and inside, works around machinery with moving parts; uses computer, typewriter and other technical equipment; works around moving objects (intermittent), protracted or irregular hours of work (when required).
