SUMMARY:
This is a full-time 12-month position reporting to the Chief Administrative Officer. This position is primarily
responsible for maintaining student records and transcripts by performing the following duties.
ESSENTIAL DUTIES AND RESPONSIBILITIES:
Core duties and responsibilities include the following. Other duties may be assigned.
Oversees the day to day operations of the student and administrative networks.
Serve as the system administrator for the school’s central database containing student/family, alumni and staff information, ensuring information contained within the database is accurate and current
Serve as the system administrator for the school’s student and staff attendance database ensuring information contained within the database is accurate and current
Serve as the system administrator for the school’s lunch program database ensuring information contained within the database is accurate and current
Responsible for re-enrollment agreement for each student each year which includes obtaining the proper signatures are received and documents are properly filed each year.
Maintains classroom enrollment numbers during enrollment season and throughout the school year.
Develops and maintains all academic schedules, and partner with Administration on course changes, add/drop requests, course placement and sectioning
Places textbook and workbook orders with BOCES and by the annual deadline.
Maintains class rosters in the student information system.
Creates grading scale and report card templates for school divisions
Create new student records and oversee the transfer of existing student records to facilitate a smooth transition for all new students
Assist with logistical and clerical work, including compiling reports, graphs andpresentations and assuming responsibility for special projects as assigned
Facilitate the timely publishing of all academic documents and regularly produce reports related to student academic records for Administration
Respond to inquiries related to student records and represent the school professionally
Conducts oneself in the best interest of students and staff in support of the school’s mission.
Additional projects assigned.

This job oversees the Office Clerk and assigns tasks.

EDUCATION AND/OR EXPERIENCE
High School Diploma or equivalent required; Bachelor’s Degree preferred; experience in an independent school preferred and/or equivalent combination of education and experience.
LANGUAGE SKILLS:
Ability to read and interpret documents such as textbook, curriculum and training materials. Ability to write student reports and correspondence. Ability to speak effectively before groups of students, parents, co-workers and school administration.
MATHEMATICAL SKILLS:
Ability to calculate figures and amounts such as fractions, proportions, percentages, area, circumference, and volume. Ability to apply concepts of basic algebra and geometry.
REASONING ABILITY:
Ability to solve practical problems and deal with a variety of concrete variables in situations where only limited standardization exists. Ability to interpret a variety of instructions furnished in written, oral, diagram, or schedule form.
COMPUTER SKILLS:
To perform this job successfully, an individual should have knowledge of Microsoft Office Software (Word, Excel & PowerPoint), Google Email, Calendar & Docs, Student Information System and Advanced database knowledge with the ability to manage data and create customized reports.
