Kee-Nee-Moo-Sha Resort is seeking an Independent Contractor team of two people to manage the daily operation of this lakeside resort to best-in-class standards. The contractor is required to maintain on-site presence, residing in resort-provided housing and will perform all work activities including guest reservations and services, cabin cleaning, grounds, building and equipment maintenance/repair and financial reporting. Labor budget provided to contractor to hire and oversee some additional labor in peak season. Position is full time for two people for most of the year with high demands in summer and lesser part-time demands in winter.

Job Summary

  • Kee-Nee-Moo-Sha Resort (KNMS) is a premium Minnesota lake resort destination with 20 individually owned cabins, including 10 winterized cabins, on over a half mile of beautiful shoreline on Woman Lake. Many guests’ families return to vacation and/or fish here each year, some for over eight decades.
  • We are a bustling resort from May through September that offers family activities for guests, dock-side gas, and an onsite guest store, all provided by the contract managers. The beach and grounds are spacious and need daily care. The cabins range from very new to older, traditional knotty pine cabins, and their utilities need repair often, provided primarily by the contract managers. We strive to offer great guest service with well-maintained cabins and welcome amenities.
  • The position is for an independent contracting team of two persons, with more than full-time demands in the peak season, and part-time demands in the off-season. The duties include both hands on operation of the resort (cleaning, mowing, repair, financial accounting, etc.) and also the hiring, training and management of a labor budget for up to 30 cleaning and grounds staff during the peak season.
  • Position reports to the KNMS Cooperative President and contractor will operate the resort in a manner acceptable to KNMS Board of Directors, implementing resort policies and procedures with excellence and in adherence to government laws and COVID Policies.

Responsibilities of this position include:

Management of overall day-to-day operations of a busy, successful resort including maintaining strong occupancy, delivering great guest service, and providing the maintenance, upkeep, organization, and cleanliness to resort standards.

Guest Service:

  • Provide superior service to all customers in an effort to deliver outstanding and memorable experiences for guests, to maintain/increase business and to generate positive feedback at the property and through social media channels.
  • Effectively communicate both verbally and written, with all level of guests and staff in an attentive, friendly, courteous and service oriented manner; ensure staff to do the same.
  • Maintain high personal visibility throughout the property with regular positive guest contact throughout their stay.
  • Respond to all guest requests, problems, complaints and/or accidents arising in person or through reservations, comment cards, email and/or phone calls, in an attentive, courteous and efficient manner. Rectify issues and follow up to ensure guest satisfaction.
  • Manage guest reservations using resort database, responding daily to inquiries. Maintain wait list and update website availability; respond to local chamber referrals. Keep database updated, including annual pricing and other changes.
  • Email pre-arrival communication securing all waivers/forms. Manage check-in and check-out, ensuring all guest register and collect all extra person fees. For Peak season, create and distribute a “who’s who list” and obtain and deliver a Sunday paper. Send annual holiday letter with peak season reservation forms.
  • The contractor receives the opportunity operate a resort guest store on the property and on the resort website, to sell ancillary guest items (clothing, gas, candy, pizza, ice, bait, etc). Contractor to select and purchase items, obtaining resort approval. Historically, this concession has generated meaningful profit for the contractor.
  • Plan and conduct resort-approved family activities for guests, five per week during peak season, securing materials on behalf of the resort and collecting resort fees.
  • Manage resort boat rental, sporting equipment, DVD library and pump gas.
  • Maintain cabin Information books in all cabins and refresh on an annual basis. Maintain the cabin bulletin boards with the MN State and resort required information.

Operations:

  • Maintain impeccable standards concerning resort physical appearance, maintenance, cleanliness and repair. Comply with resort policies and standards and government regulations to keep resort buildings, grounds and equipment in safe operating condition.
  • Conduct maintenance and repair of buildings, facilities, grounds and equipment in compliance with health and safety protocols, including boats, motors, lifts, docks, water slide, raft, swim buoys, beach, roads, walkways, cabins, washers, dryers, game-room equipment, resort vehicles and tools.
  • Winterize ten cabins in the Fall and reconnect water to open in the Spring.
  • Maintain lawn in good condition including watering, feeding, weekly mowing, fall leaf removal.
  • Provide daily beach and beachside area cleaning and weekly tractor blading. Conduct nightly check of boats, lifts and beach.
  • Maintain, grade and plow approx. 1.5 miles of resort road and parking areas as necessary. Ensure snow removal is conducted in a timely basis \ and all common areas accessible by the public are cleared of any hazards. Conduct tree cutting and clearing following storms.
  • Organize and manage outside professional seasonal dock, lift and waterslide installation and removal. Ensure maintenance is performed for safe operation.
  • Launch, maintain, clean and store rental boats and motors and maintain in safe working condition. Install swim raft and buoys.
  • Collect garbage and recyclable materials on a timely basis – three times per week during peak season.
  • Purchase the necessary supplies for the operation of the resort (office supplies, cleaning supplies and cabin supplies such as toilet paper, paper towels) staying within the resort budget. Maintain and manage inventory in a timely and cost controlled manner.

Team Management:

  • Recruit and maintain a pipeline of qualified staff members to meet the resort operational need during peak season (primarily for cleaning and grounds keeping).
  • Conduct training and manage staff to ensure they have mastered tasks and adherence to resort policies and standards, including COVID sanitation and emergency protocols. This may include providing training and direction for resort-provided “camper-couple” on-site part-time on-site labor during peak season.
  • Organize teams/work, motivate, evaluate performance, including providing feedback, taking corrective action and adjusting staff as needed. Reward good attendance and performance.
  • Ensure good standing in the community by developing and maintaining good relationships with all resort suppliers and the Chamber of Commerce.

Business/Finance:

  • Overall management the resort to deliver operational and business results.
  • Utilize the bookkeeping, accounting, and reporting systems provided by the resort to keep accurate, transparent and timely financial records.
  • Maintain the resort budget and manage costs for line items such as supplies, labor, and repair within financial parameters. Provide monthly projection updates.
  • Categorize and upload operating expenses, and forward to the Treasurer and the Accountant monthly.
  • Make deposits and pay/forward bills on a timely basis.
  • Identify opportunities to drive revenue, manage labor, and control expenses.
  • Operate contractor’s business / legal entity in full compliance with all laws and regulations. Ensure payroll taxes and withholding requirements are collected & submitted in advance of deadlines, workers compensation insurance is secured, and all filing requirements met.
  • Professionally manage contractors own business and financial records. Provide raw data of labor costs incurred and summary information on concession sales, etc.

Work Environment:

  • Contractor is required to live on-site in provided housing and must be onsite the vast majority of the time. In peak season, contractor must ensure resort oversight and emergency management 100% of the time.
  • Project a professional image to guests, staff and suppliers through dress code, demeanor and language.
  • Perform office skills such as math, understand finances, and cost management.
  • Move throughout the resort grounds daily and for extended periods (up to 10-12 hours per day).
  • Must be able to lift and bend to lift up to 60 pounds, to push or pull a minimum of 120 lbs., and to balance and move heavy objects.
  • Conduct substantial walking, standing, sitting at desk, lifting, pulling, bending, stooping, climbing, balancing, kneeling, crouching, crawling and reaching with hands and arms and perceiving odors or scents for building and grounds maintenance, repair and cleaning.
  • Specific vision abilities required by this job include ability to adjust focus and use computer monitor for extended period of time. Hearing and speaking with guests.
  • Will be exposed to hot, cold, wet and humid weather-related conditions.

Compensation Package:

  • Contractor annual management of fee: $65,000 – $80,000
  • Housing, basic utilities, and real estate taxes provided at no cost to contractor.
  • Opportunity to earn profit from guest store & dockside gas sales.
  • Vehicle allowance: TBD based on any resort use of contractor vehicle(s)
  • Additional variable labor budget provided to contractor to hire peak-season help, based on resort occupancy.
  • Opportunity to contract with cabin owners for additional construction/repair work in off-season
  • Potential for a performance / business outcome based annual bonus

Qualifications for the team (collectively):

  • Previous experience and enjoyment in serving people and maintaining positive rapport. Must be effective at listening to, understanding and solving concerns raised by guests, staff, and management.
  • Aptitude and experience in maintenance and repair of plumbing, septic, electrical, mechanical items; motor repair, dock installation, carpentry and welding skills/experience
  • Proven ability to hire, retain, manage and organize the performance of individuals and contractors / service providers.
  • Proficiency with computers and PC applications such as word processing, spreadsheets and accounting systems. Basic understanding of computer networking and hardware desired.
  • Financial management such as payroll, bookkeeping, budgeting and inventory control.
  • Cleaning and grounds keeping experience and desire
  • Excellent written and verbal communication skills; good listener
  • Capable of using independent judgement; good decision-making skills
  • Must be able to work effectively in stressful environment. Good under pressure, able to handle urgent/emergency situations, complaints
  • Proven job reliability, attention to detail
  • Able to plan, organize and manage work and guest activities (crafts & social events)
  • Any on-site pets may be subject to restrictions.
  • Due to the cyclical nature of the resort business, willing to work long hours during the peak season, including evenings and weekends. Round-the-clock supervision is needed in case of emergencies when guests are present.
  • Experience/training operating the following equipment: outboard boat motors, fishing and pontoon boats, boat lifts, tractor, utility vehicle, skid steer loader, snowmobile, chain saw, powered hand tools, road plowing and grading.
  • A truck/vehicle with a plow that can we used to plow resort roads/parking areas. Resort will provide compensation for use. A valid Driver’s License and current insurance that incudes comprehensive and collision coverage for all vehicles. Excellent driving record as verified by a motor vehicle report.
  • Contractor will need to secure Comprehensive or commercial general liability insurance coverage in the amount of two million dollars, including coverage for bodily injury, personal injury, broad form property damage, contractual liability, and cross-liability for single occurrence.

Education and Formal Training

  • High school diploma or equivalent required. College degree preferred.
  • Some formal trade training in construction, sanitation, mechanical work, plumbing, electric, carpentry, property management desired.
  • Hiring and management experience; payroll experience desirable.
