Northern Colorado Anesthesia Professionals PLLC (NCAP) is a longstanding and well-regarded anesthesia practice serving the anesthesia needs of Colorado Front Range communities and Southern Wyoming. NCAP provides anesthesia and pain management services for UC Health’s Northern Colorado inpatient and outpatient surgical sites. NCAP also provide services to Good Samaritan Medical Center in Lafayette, Ivinson Memorial Hospital in Laramie, WY, as well as to other facilities in the region.

The incumbent in this position is a contributing team member within the Operations group and is responsible for utilizing QGenda scheduling software to create and manage the vacation, PTO, on-call, and daily schedule, both daily and long-term, for CRNAs and physicians in the North and South pods.

Responsibilities:

1. Contribute to the smooth operation and continued improvement of the Operations team by, for example:

• Actively participating in interdepartmental meetings to continuously improve processes and procedures.
• Actively participating in department meetings to continuously improve department processes, flow of work, and team engagement.
• ·Actively seeking, proposing, and completing projects that would move the Operations department forward (e.g., improving efficiency, documentation of workflow, improve speed of completion, gathering trend date, etc.).
• Developing strong, professional working relationships, both departmental and interdepartmental. Interacting with colleagues (both via phone, email, and text) in a timely, professional, and respectful manner.

2. Schedule Development

• Develop, enter, and maintain CRNA schedule for North and South pods long-term. Also responsible for filling all open shifts that are >3 weeks from current date
• Responsible for filling any open physician shifts in North and South pods that are >3 weeks from current date
• Daily management of any changes in Qgenda (shift swaps, early out requests, meetings)

3. Qgenda Management

• Develop, organize, and maintain PTO for CRNAs and vacation lottery for physicians
• Act as a proxy for providers to enter PTO into Qgenda as needed
• Approve PTO requests in Qgenda
• Enter new providers into Qgenda
• Set up new tasks and tags in Qgenda as directed
• Obtain PRN CRNA availability for North and South Pods and enter into Qgenda

4. E-Preop Data Entry

• Accurately enter patient demographic information daily into ePreop per assigned locations

5. Other duties

• Answer general office phone line and direct callers as needed
• Enter on-call providers into Amion software for UCH
• Send GSMC their on-call schedule report for their Amion
• Receive requests for anesthesia providers via phone/email; enter into special requests calendar
• Operations team phone on-call rotation with other Operations team members
• Serves as subject matter expert for QGenda
• Administrator for different databases
• Cross-train on other duties in the department
• Maintain confidentiality (PHI/HIPAA)
• Any other duties as assigned

Qualifications, Skills, and Experience:

• High school diploma or equivalent.
• 1-3 years’ high volume scheduling experience, preferably in a healthcare setting.
• Good working knowledge of Microsoft Office applications including Word, Excel, Teams, and SharePoint.
• Ability to learn and use unique software programs, including QGenda and ePreop.
• Ability to follow directions, to work autonomously, and to work well as part of a team.
• Strong interpersonal skills. Strong verbal and written communication skills. Must be able to speak and read English.
• Ability to manage a large volume of incoming information and process it in a timely manner, including incoming provider emails/texts/calls.
• Ability to prioritize work projects and work under pressure to meet frequent deadlines.
• Ability to work on multiple projects throughout the day and achieve timely work completion.
• Ability to look ahead and forecast upcoming schedule issues.
• Attention to detail is critical.
• Basic medical terminology is helpful.
