Meriplex is searching for a highly skilled Senior Payroll Specialist the payroll process by ensuring the accuracy of employee time and attendance data, processing payroll regularly, and ensuring compliance with relevant multi-state laws and regulations. This role also develops and implements payroll policies and maintains accurate payroll records. Ultimately, the Payroll Manager plays a crucial role in ensuring that employees are paid accurately and on time, while also ensuring compliance with all applicable multi-state laws and regulations.

In this position, you will:
- Accurate and timely processing of semi-monthly payrolls that include salaried, hourly, and commissioned employees in multiple states in the U.S. including California.
- Prepare weekly, monthly, quarterly, and year-end payroll reports (gross payroll, hours worked, PTO, ad hoc, etc.).
- Develop and maintain reports, controls and procedures that facilitate the accurate accounting and reporting of payroll.
- Work closely with Human Resources department to ensure accurate benefit deductions and employee record keeping.
- Create and/or process query reports to support executive and local management, Human Resources, Benefits, Finance, and others as needed.
- Acts as primary payroll contact with payroll service providers and other products/services that interface with payroll regarding system/service issues, establishment of new payrolls, implementation of tax and regulatory changes, process changes, management of earning/deduction codes and system enhancements.
- Ensure strict adherence to established internal controls and SOX compliance procedures.
- Communicate and resolve payroll issues for Human Resources, Finance and other departments as needed.
- Coordinate and provide information, records and reports for all payroll audits including workers compensation, regulatory agencies, internal and external audits.
- Continuous evaluation and improvement of all payroll processes seeking maximum processing efficiency and accuracy.
- Maintain high level of customer service including timely research and response to inquiries and consultation on payroll issues including tax and regulatory matters.
- Maintains up to date professional and technical payroll knowledge including US government, state / province, and local requirements, ensuring company compliance, and advising management on needed actions.
- Maintains confidentiality and security of payroll information and data files.
- Maintain current emergency contingency payroll processing plan.
- Maintain and audit accuracy of vacation, sick, floating holiday reports and accruals.
- Drives preparation and issuance of annual Form W-2 / 1099 / 3921 / 83B.
- Supports annual financial statement, 401(k), and other audits as required.
- Special projects as needed.
Knowledge, Skills, and Abilities:
- Excellent project management skills and experience leading cross-functional teams.
- Deep understanding of employee benefits programs, including health and welfare plans, retirement plans, and wellness programs.
- Strong analytical and problem-solving skills, with the ability to analyze complex data sets and identify trends and insights.
- Excellent communication and interpersonal skills, with the ability to build strong relationships with internal stakeholders and external partners.
- Ability to work in a fast-paced, rapidly changing environment and manage multiple projects simultaneously.
- Ability to work with minimal supervision.
- Strong competence to motivate and influence key stakeholders.
- Sound business acumen skills.
Education, Experience, and Certifications:
- Bachelor’s degree in business, accounting or related field required.
- UKG experience required.
- 5 years of experience in a fast-paced environment is required.
- Previous payroll systems experience, including developing reports is required.
- Experience with high-volume payroll processing.
- 2+ years of experience performing commission calculations.
- Experience with system implementations desired.
- Must be familiar with multi-state payroll processes, laws, and regulations.
Work Schedule/Travel:
- Standard Meriplex business hours of Monday – Friday 8:00 AM to 5:00 PM
- Estimated 0% travel required.
Physical Demands:
Sedentary Work – Exerts up to 10 pounds of force occasionally, a negligible amount of force frequently, and/or constantly having to lift, carry, push, pull or otherwise move objects, including the human body. Sedentary work involves sitting most of the time.
