CBRE is seeking a Senior Project Manager - Move, Add, Change / Lab Planner to lead manage and deliver Move Add Change related tasks for our Life Sciences clients in Cambridge, MA. The selected individual will also assist with all Lab Planning activities as outlined below.
JOB SUMMARY
The purpose of this position is to manage and lead a staff responsible for individual, multi-disciplined real estate project solutions for clients, with direct accountability for project delivery.

The primary responsibilities of this position consist of planning, managing, and executing all MAC (Moves, Adds, Changes) related tasks for a Life Science client.

While possessing strong written and oral communication skills, this individual must also have the ability to effectively and professionally work with people of various disciplines and levels within a regulatory environment, including: real estate, facility management and IT teams, C-level executives, department heads, administrative assistants, and end-users; as well as the project team, including: construction managers, architects, engineers, building managers, physical movers, liquidators, MEP contractors and charitable organizations.

This is not a remote role, the Sr PM MAC Lab Planner will be required to be onsite or in the office in Cambridge, MA on a fulltime basis.

ESSENTIAL DUTIES AND RESPONSIBILITIES
  • Execute all MAC activities to plan and manage all new hires, moves or terminations for the Cambridge site, or other sites are required.
  • Execute all MAC activities to plan and manage all lab related moves, within the write-up office space and lab space, including lab equipment for the Cambridge site.
  • Ability to use and update a CAFM system such as FMS, Serraview, Tririga, Cornerstone, etc.
  • Engage internal CBRE team members i.e., MAC Managers, Occupancy Planners, Change Managers, Project Managers, Real Estate Brokers to execute and coordinate move activities
  • Provide proposals to Project team to support CAR fees or new business opportunities, including RFP responses and presentations
  • Coordinate move meeting content with Project Manager
  • Develop overall move budget and cost tracking for projects
  • Develop move schedules including detailed break-down of major tasks and resources required
  • Develop project contingency plans
  • Develop scopes of work for each subcontracted service associated with the move
  • Ensure CBRE has a fully executed contract with the client prior to any work beginning
  • Ensure vendors provide appropriate insurance requirements as well ensure CBRE has a fully executed contract prior to any work beginning
  • Create and provide reporting on internal and external service level agreements and KPI's
  • Audit move decommissioning for best practices, lessons learned and process improvement
  • Conduct post-move walk through and work with Project Manager on punch list actions
Manages all facets of project management (budget, schedule, procurement, quality & risk) for individual real estate projects including planning, design, construction, occupancy and closeout.
Demonstrates capability to read, understand and apply standard to complex documents affecting real estate projects, including but not limited to: agreements/contracts, leases, work letters, project charters, surveys and drawings.
Interfaces directly with clients to define project requirements. Prepares scope of work, project delivery resource requirements, cost estimate & budget, cash flow, work plan schedule & milestones, quality control, and risk identification.
Identifies project delivery resources from pre-qualified lists or through individual project qualification process; conducts standard to complex request for proposals; completes bid analysis; leads evaluation interviews, recommends resources to clients.
Leads project delivery resources/team (typically larger more experienced team) providing project guidance and direction to achieve project goals.
Implements communication plan for meetings and written reports/meeting minutes to keep client and project resources informed. Facilitates project meetings.
Implement project documentation governance aligned with company and client requirements. Ensure project data integrity and documentation is accurate, timely and coordinated.
Tracks progress of each project against goals, objectives, approved budgets, approved timelines. Reports status and variances. Creates action plans to meet objectives, budget and schedule.
Implements change management routines to assess change requests, make recommendations, secure client approvals, and issue change orders. Assesses change requests to determine impacts to scope, budget, schedule, quality and risk.
Demonstrates ability to identify complex project risks, lead constructability reviews, develop risk mitigation and contingency plans, and implement action plans to reduce or eliminate project risks.
Demonstrates a knowledge of projects & project management within the context of business results (business case, larger economic implications, business risk, etc).

SUPERVISORY RESPONSIBILITIES
Provides formal supervision to individual employees within single functional or operational area. Approves subordinate's recommendations for staff recruitment, selection, promotion, advancement, corrective action and termination. Effectively recommends same for direct reports to next level management for review and approval. Plans and monitors appropriate staffing levels and utilization of labor, including overtime. Prepares and delivers performance appraisal for staff. Mentors and coaches team members to further develop competencies. Leads by example and models behaviors that are consistent with the company's values.
Manages 3rd party project delivery resources/team (typically larger more experienced team). Responsible for identifying training needs, tracking performance, coaching, and motivating team members.

Required Skill Set

  • Ideal candidate will have MAC experience within a Life Sciences environment, with familiarity on how to execute lab people and equipment moves, including decommissioning management experience
  • Working knowledge of Revit or AutoCAD required
  • Proficiency in CAFM systems such as FMS, Serraview, Tririga, Cornerstone, etc.
  • Knowledge of various commercial furniture brands helpful
  • Ability to quickly gather and understand detailed information about the client company, their industry and business operations
  • Excellent communication and interpersonal skills
  • Strong verbal and written communication skills
  • Must have the ability deal with people in all levels of the organization (admins to CEO)
  • Must be able to provide calm reassurance to client and help them through very stressful phases of projects
  • Leadership abilities to take charge of a project and gain the trust and confidence of the client, landlord and internal CBRE team members

Software Skills: Candidate must have expert command of Microsoft Office Suite (Excel, Word, Outlook, PowerPoint). Proficiency in CAFM systems such as FMS, Serraview, Tririga, Cornerstone, etc. Working knowledge of Revit or AutoCAD required.

EDUCATION and EXPERIENCE
Bachelor's degree (BA/BS/BEng/BArch) from College or University in a technical area of study. Minimum six-ten years of in move management, facility management, interior design, architecture, engineering related experience and/or training.


Prior experience in a supervisory position (direct report responsibilities) required if specific duties include direct report responsibilities.
CERTIFICATES and/or LICENSES
PMP (US and/or Canada) and LEED AP preferred.

Intermediate skills with Microsoft Office Suite. Ability to read and understand architectural drawings. Knowledge in MS Project, leases, contracts, and construction practices.
