POSITION SUMMARY:

This position is responsible for maintaining the general ledger for association, processing accounts receivable and accounts payable, reconciling accounts, processing payroll when called upon, and preparing journal entries. Also, assist the CFO and Accounting Director with other accounting duties as assigned.

ESSENTIAL FUNCTIONS:

  • Accounting/bookkeeping services: Post transactions to the accounting software general ledger, post petty cash and internal transactions to appropriate accounts, process daily bank reconciliations.
  • Cash receipts: Import daily receipts in accounting software, review general ledger account for errors and omissions.
  • Accounts Payables: Hold purchasing staff accountable to the Purchasing Policy. Obtain required approvals, input and post invoices to accounting software, track payment dates, and maintain payment schedule for repetitive vendors. Print checks weekly. Scan checks with supporting documentation to network. Retrieve and compile payable information as required, interface with vendors and colleagues to resolve billing deputes.
  • Accounts Receivables: Prepare, make copies and maintain files for invoices to outside parties. Record payments received in operating software.
  • Childcare Billing: Support Childcare Team in scheduling payments, changing payment methods, collecting past due payments, and monitoring accounts. Track DSS form submittals and payments for childcare and apply payments in operating system.
  • Payroll: Process payroll at least once quarterly and in the absence of the HR Generalist. Prepare general ledger entry and import into accounting software. Submit YERDI transmittal in accordance with Payroll at least once quarterly and in the absence of the HR Generalist.
  • Maintain files and records for the accounting department.
  • Prepare correspondence as needed for the accounting department.
  • Become proficient in both the accounting and operations software; assist branches with software problems/questions, learn the accounting policies and procedures and assist staff with inquiries.
  • Follow all YMCA policies, rules, regulations and procedures, including emergency and safety procedures.
  • Knowledge of and commitment to the mission of the YMCA and our three areas of focus: youth development, healthy living, and social responsibility.
  • Ability to articulate and model the Y’s four core values of caring, honesty, respect and responsibility.
  • Attend staff meetings and in-service training as required.
  • Perform other accounting, financial, or administrative tasks as required from time to time, occasionally on short notice, by the CFO or Accounting Director.
Requirements:
  • Minimum age of 21 years old.
  • High School Diploma or equivalent.
  • 2+ years accounting experience.
  • Excellent personal computer skills and experience with standard business software including but not limited to Microsoft Excel and Word.
  • Strong communication and organizational skills, attention to detail and the ability to maintain confidentiality.
  • Excellent work habits, including a willingness to work irregular hours when called upon to get assigned tasks done on a timely basis.
