This position is open to the public and all current city employees covered under the City’s Collective Bargaining Agreement with AMERICAN FEDERATION OF STATE, COUNTY, AND MUNICIPAL EMPLOYEES (AFSCME) – BARGAINING UNIT 1, 3, 4 & 5. Only employees in City job titles in this bargaining unit are eligible to bid.

Description
Under direction of the Deputy Commissioner, assists in the performance of specialized administrative support duties, and develops and implements management methods to improve organizational performance; and performs related duties as required
ESSENTIAL DUTIES
- Preparing reports, memos, presentations, and correspondence
- Screen phone calls, manage calendar/appointments
- Monitor the Deputy Commissioners email inbox and files, tending to time-sensitive matters and removing unnecessary emails
- Work closely with the DC to keep her well informed of upcoming commitments and responsibilities, following up appropriately
- Review upcoming meetings and calls to insure they align with commitments and priorities and use independent judgement to manage deadlines and reschedule meetings and events as needed
- Responsible for coordinating division meetings and trainings
- Attend meetings, take meeting minutes, assign action items, and follow up items
- Serve as a point of contact for equipment and supply needs for the division
- Perform administrative support for the division and other related duties as assigned

Shift: Monday-Friday
Hours: 9:00am – 5:00pm
THIS POSITION IS IN THE CAREER SERVICE
Graduation from an accredited college or university with a Bachelor's degree in Business Administration, Public Administration or a related field, supplemented by one year of administrative experience, or an equivalent combination of training and experience
Selection Criteria
This position requires applicants to successfully pass a skills assessment test and complete an interview. Test results will be sent out by the Department of Human Resources after test results have been analyzed and compiled. The candidates that receive a passing score on the skills assessment test will be invited to interview for the position. Candidate(s) receiving a passing score on the test and possess the qualifications best suited to fulfill the responsibilities of the position, based on the oral interview and written skills assessment, will be selected in seniority/lottery order.
Preference will be given to candidates possessing the following:
- Previous project management experience
- Proficiency with Microsoft Office software (Word, PowerPoint, Excel and Outlook)
- Previous administrative experience in a fast-paced environment
