The Staffing Coordinator is responsible for effectively creating Home Health Aide schedules from draft through approval and communicating to employees, nursing staff, and clients. The Staffing Coordinator will schedule staff according to department policies, standards and contract requirements. This position will ensure adequate coverage and manages schedule/shift adjustments to optimize schedule adherence and provide overall staffing efficiencies. The Scheduling Coordinator is responsible for scheduling staff on multiple units/specialties and/or facility and allocating staff accordingly on a shift by shift basis to accommodate department, patients and clients, and team members’ availability.

ESSENTIAL FUNCTIONS:

    Responsible for collaborative interfacing with appropriate resources for the creation of daily labor allocation plans, communication of plans to unit and facility leadership and execution of plans at the unit level through the enforcement of the organization’s staffing model
    Effectively utilizes Full-time, Part-time, and Per Diem staff, understanding the associated impact on costs, client care, and department’s needs
    Creates, maintains, and manages staffing schedules for department
    Ensures appropriate and prompt staffing for current and new clients
    Minimizes avoidable over-time through effective scheduling
    Serves as liaison to staff with respect to work schedules and collaborates with other departments to ensure staffing needs are met
    Notifies Nurse Supervisor regarding call-outs and assists with securing coverage
    Balances department’s staffing needs and the staff’s schedule preferences
    Responds to emergency situations and call-outs to ensure appropriate coverage
    Reviews and tracks time-off requests and coordinates scheduling to meet these needs


REQUIREMENTS:

    Minimum 3 years’ staffing agency (home care) scheduling experience required, but will consider equivalent hospital/healthcare staffing experience
    HS Diploma or equivalent. Some college preferred
    Excellent communication skills and the ability to effectively interact with staff, clients, and families
    Ability to provide superior customer service, problem-solve, and tactfully handle difficult situations
    Proficient in Microsoft Word and Excel
    Responsible for completing tasks in a fast-paced environment
    Knowledge of scheduling and payroll software; ability to readily master new software
