With NEW Ownership and EXCITING Renovations, Pet Medical Center is seeking a responsible, diligent, team player with strong communications and customer service skills to lead the front desk operations and reception area to ensure client success. The Veterinary Clinic boasts a collaborative team environment and family-oriented culture and is seeking top talent for a Client Care Advisor to join their client centric team.


Summary
:
The full-time Client Care Advisor is responsible for ensuring the front office and reception processes are executed appropriately while delivering outstanding customer service to clients. Client Care Advisors will connect with clients to understand what type of care and service the client may require and appropriately route the care needed to appropriate staff. Client Care Advisors will engage with practice leaders and the team to proactively identify, discuss, and solve operational issues while greeting clients professionally, personably, and with a welcoming demeanor. These staff positions will ensure clients are successfully routed through their appointments and service payments are collected. This person is an integral part of the team and the overall business operation.

Start Date and Hours:

Looking for full-time Client Care Advisors to start as soon as possible to work weekdays and weekends. Business hours are Monday, Tuesday, Thursday, Friday 8am-6:00pm, Wednesday 8am-12:00pm and Saturday and Sundays 8am-1pm.


Qualifications:
Candidate must be at least 16 years of age and have a High school diploma or General Education Degree (GED. Ideally this candidate will have worked in a customer service position for two years and have solid Math, Computer, and strong reasoning abilities.

Responsibilities:
Client Services:

  • Greets clients and provides prompt, professional, and friendly service to all clients.
  • Prepares charts for new patients before appointments, including obtaining prior medical records, reviewing vaccine history, inserting dates into practice software for reminders, and alerting doctors and clinical staff of extensive medical history.
  • Talks to clients about recommendations regarding vaccines, health plans, boarding policies, fleas and heartworms, and pre-anesthetic recommendations.
  • Assists clients in filling out registration and other necessary forms.
  • Schedules appointment using scheduling protocols for each doctor.
  • Checks out all clients by collecting fees and ensuring clients have all medications and food being sent home.
  • Explains charges to ensure clients perceive the value of service provided.
  • Acts as a liaison between the doctor, clinical staff, and client to ensure all client questions, issues, and concerns are answered and understood.

Accounting/Cash Handling:

  • Collects payments from all clients at the time of service.
  • Processes cash, checks, credit cards, and Care Credit payments in practice management system.
  • Reconciles cash drawer (prints reports, prepares deposits, closes out credit card terminals and cash) at mid-day shift change and at the close of the day.
  • Processes returns by crediting the client’s account in practice management software or on the client’s credit card.

Clerical:

  • Faxes records to and obtains records from other veterinary practices.
  • Records and delivers messages to the doctors from clients and other doctors.
  • Maintains copy and fax machine.
  • Keeps front office supplies and forms stocked at appropriate and cost-effective levels.
  • Keeps reception area and lobby neat and tidy.
  • Locks/unlocks the front door and turns lights on/off when clinic opens and closes.
  • Runs general errands to the office supply store or post office.
