We are seeking an Administrative Assistant to perform various complex administrative functions, for all levels of management and external business partners to manage schedule, coordinates travel arrangements, and process business expenses. This executive business administrator will provide support to the General Manager. This role will take on a variety of tasks while working in a fast-paced and dynamic environment. The ideal candidate will have strong organizational and communication skills, be able to proactively anticipate needs and shift priorities quickly, be self-motivated, self-aware, and have the ability to balance a sense of humor with a sense of responsibility.
Candidates should appreciate an energetic work environment, and have a sense of urgency for key deliverables, deliberate and forward-thinking in how to approach challenges, and operate administratively at scale.
Duties and Responsibilities:
Coordinate meetis, even s, department financial operations, personnel operations, and facility ,operations.
Manage procurement of goods and services, including computer equipment, office supplies, reference materials, and vendor relationships.
Provide general office support.
Serve as the department/group contact.
Complete special projects as assigned.
Must have cloud experience and International calendar management.
Experience with Global collaboration.
Datacenter management.
Support of senior leaders and managers.
Ability to work in a fast-paced environment.
Qualifications required:
- Bachelor's Degree completed
- 4+ years of experience as an Administrative Assitant, Executive Assistant, Office Administrator, or in a similar job position.
- Proven excellence in administrative skills and functions.
- Ability to interface at the exec-level with customers and partners both internal and external.
- Professionalism to represent the exec office effectively.
- Strong planning and organizational skills to effectively prioritize.
- Customer service focus.
- Strong written and verbal communication skills.
- Comfortable operating within ambiguity and changing direction rapidly to accommodate a fluctuating work environment.
- Ability to maintain calm and focused under pressure.
- Provide positive interactions with others.
- Proficiency with Microsoft software and internal tools.
- 2+ years of work experience supporting a calendar.
- Fully Bilingual (English and Spanish).
Duties may include but are not limited to:
- Complex calendar management
- Travel logistics and expense reporting
- Procurement and management of supplies, hardware, and assets
- Facility requests
- Maintain Distribution Lists and Security Group aliases as needed
- Ensure compliance with operational policies and procedures
- Coordinate other projects as assigned
- Serve as backup support to the EA as needed
- Morale event planning and organization
- Order (and deliver if needed) lunches for meetings
