Tri Pointe Homes is looking for an experienced, detail-orientated, problem-solving individual to join our talented group as a Director of Payroll & Equity Compensation Administration in our Home Office!
Position Highlights: The Director of Payroll & Equity Compensation Administration is responsible for the strategic design and implementation of payroll controls, compliance and administration, as well as of timely and compliant administration of TPH’s long-term equity incentive compensation programs. This includes vendor management/relations, supervision of the payroll team, as well as close teamwork and collaboration with the Compensation/HR Analyst, and Finance/Accounting and Legal departments to ensure all management and administration details are handled appropriately and seamlessly.
Position Responsibilities:
- Develop, implement, and maintain payroll policies and procedures: identify system and process improvements to increase effectiveness and efficiency of payroll function.
- Manage payroll vendor relationship and ensure vendor compliance with statutory reporting and filing requirements.
- Work closely with HRIS Manager to ensure system is set up appropriately, functioning optimally, and is successfully integrated with other application systems and identify opportunities for system and process improvements to increase operational effectiveness.
- Oversee payroll vendor tax services ensure preparation and filing of tax returns is done accurately and timely by payroll vendor (in collaboration with TPH’s Finance/Accounting/Tax team members.
- Oversee the handling of payroll related legal notices and garnishments and work closely with payroll vendor and legal counsel to ensure proper handling of such.
- Ensure internal controls are maintained and documented; provide insight as needed to support internal control audits.
- Ensure payroll system is confidential and secure, and measures are implemented to prevent unauthorized access to payroll data. This includes proper setup and maintenance of user access rights.
- Verify ongoing data integrity and work with Compensation/HR Analyst to perform data integrity audits.
- Supervise the overall effectiveness of Payroll team, train and develop team members, evaluate and provide performance feedback, and support timely resolution of escalated issues.
- Lead administration of all participant equity plan transactions in an accurate and timely manner, in compliance with LTIP requirements and timelines. Review new grant set up, distributions, and cancellations for RSUs. Review vesting details prior to distributions for annual and off-cycle/periodic grants in coordination with Finance/Accounting and Legal departments and equity administration vendor.
- Review/revise, develop, implement, and/or maintain documented policies and procedures related to equity administration activities – including but not limited to, new grants, vesting and taxation procedures, etc.
- Work closely with HRIS Manager to identify opportunities for system and process improvements to increase operational effectiveness and enhance participant experience.
- Review/revise LTIP participant guide and design effective communication and training material for LTIP plan participants, HR and business leaders to further understanding of equity awards and the LTIP, and partner with equity administration vendor to leverage education resources.
- Train Compensation/HR Analyst on proper equity plan administration procedures and oversee audit of files for new grants, vestings/distributions, cancellations, and tax withholding.
- Serve as primary contact for vendor relationship management. Manage relationship and ensure system is functioning optimally and is successfully integrated with other systems, including those needed by other departments such as the Finance/Accounting department.
- Assess and document requirements for file feeds and system uploads, including but not limited to grant load files and tax accumulators for prompt handling of withholding associated with vestings.
- Partner with Finance/Accounting department and Payroll team to ensure accurate and prompt tax withholding, payroll reporting, and issuance of vested shares.
- Act as equity administration expert for HR, Finance/Accounting and Legal departments.
- Ensure timely and helpful responses to participant inquiries and ad hoc requests.
- Ensure internal controls are maintained and documented; provide insight as needed to support legal requests and/or internal control audits.
- Verify data integrity and work with Compensation/HR Analyst to perform data integrity audits between administration system and HRIS/Payroll systems.
- Ensure compliance with all federal, state, and local laws and stay up to date with changing laws associated with areas of responsibility; communicate changes to appropriate parties.
- Work highly collaboratively with the Legal and Finance/Accounting departments to evaluate legislative and regulatory developments and impacts to administration and ensure compliance.
- Ensure completion of all necessary compliance activities, including quarterly and annual internal and external audits, tax filings, required notice disruptions, coordination with Finance/Accounting and Legal departments for public form filings, and other requirements as requested.
- Ensure systems, accumulators, and any formulas associated with such are set up and functioning appropriately, e.g., overtime calculators, time-off accruals
- Ensure policies and procedures are clearly documented so they can be easily applied/followed and that such are regularly reviewed and revised to remain current.
- Ensure vendor contracts/agreements are reviewed, negotiated, and renewed timely and effectively (along with approval of VP of Total Rewards).
- Work closely with HRIS Manager to optimize systems and improve efficiency and effectiveness.
- Support business and department strategy by working with other HR and organizational leaders to implement and support programs and initiatives that positively impact team members.
- Other duties as assigned.
- Participate in other compensation-related projects and initiatives with other Total Rewards team members.
Position Qualifications:
- Bachelor’s Degree required, preferably in a related discipline such as Business, Finance, Accounting or HR
- A minimum of 5 years experience overseeing a payroll function
- A minimum of 3 years experience performing equity compensation administration for a public company, preferably overseeing third party vendor management; Equity administration certification (e.g., Certified Equity Professional) highly desired.
- A minimum of 5 years experience in a people manager or leadership role
- Ideal candidate will possess the following:

- Ability to successfully build strong relationships based on trust and respect - partnering and communicating effectively with a wide variety of audiences, explaining complex information clearly and compassionately
- Broad and deep knowledge of payroll and payroll tax administration best practices, including multi-state payroll and compliance experience for a public company
- Solid base of knowledge regarding equity administration best practices
- Past experience with reputable payroll administration system(s) such as UKG/UltiPro, ADP, Workday, etc.
- Past experience with reputable equity administration vendor(s), such as E-Trade, Schwab, AST, etc.
- Strong knowledge of optimizing systems and automating processes.
- A bias for action coupled with strong analytical skills, working effectively and efficiently towards goals in complex or diverse environments
- Ability to manage multiple priorities/projects simultaneously, work within established/rigid timelines, potential changing demands, and deliver results in a fast-paced environment
- Ability to maintain confidentiality, and maintain poise and discretion, as well as exercise good judgment and integrity in day-to-day decisions
- Ability to manage resources effectively, including internal and external stakeholders
- Proficiency at using the Microsoft Office suite of applications, especially Excel
Compensation & Benefits
- Base Salary: The expected base salary range for this position is between $134,200-188,300 per year, depending on experience and skillset. Base Salary is paid bi-weekly, every other Friday.
- Bonus: This position is eligible for an annual performance-based cash bonus. Bonuses are earned, calculated and paid in accordance with the terms and conditions of the Company’s applicable incentive plan document.
