POSITION SUMMARY:

We currently have an opening for an Executive Assistant to support a member of our C-Suite team. This position will be located in Santa Monica, California.


You will manage mostly business-related tasks for the team such as creating reports, organizing travel and accommodation, taking minutes, and other organizational tasks. To do this role properly you should have a detailed understanding of the full Microsoft Office suite, be extremely fast at solving problems and have experience as an executive or administration assistant in the past.


MAIN DUTIES:

You will provide high-level, confidential administrative support to the C-Suite executive.

You will manage busy calendar and arrange meetings in multiple time zones.

You will plan and organize meetings, team events, off-site summits, telephone, and video calls across multiple time zones with an emphasis on details.

You will make international and domestic travel arrangements, including passport & visa procurement, often with minimal notice.

You will prepare written communications to internal and external contacts with an emphasis on context and confidentiality.

Other duties include:

  • General administrative duties, including screening and answering calls, reconciling expense reports and budgets.
  • Invoice processing.
  • New hire onboarding & scheduling of interviews
  • Act as the point of contact between executives and employees/clients
  • Maintain company contact list and org chart.
  • Project manage company events – townhall meetings, annual client party, management offsite, artist summit.
  • Pick up supplies and/or deliveries from the Vault department, vendors or stores, and deliver/set up at events, meetings and team areas.
  • Take, prepare, and present meeting minutes for leadership meetings.
  • Collaborate with Director of Scheduling with managing artist schedule and being quick to act on high volume emails and requests.
  • Being extremely organized and able to handle multiple project requests and time sensitive demands as well as maintaining constant communication with all parties involved.
  • Work with all of our facilities around the globe; must keep a full line of open and thorough communication at all times.
  • Ability to keep track of multiple internal/external artist schedules through the highest level of communication and customer service approach.
  • Have a keen eye on spotting potential schedule conflicts with production or artist resources and proactive attitude in sorting out these conflicts in real time.
  • Communicate time sensitive changes in artist availability to project managers and producers efficiently.


WHAT YOU BRING:

You come with experience in an administrative role or Executive Assistant role.

You will bring executive-level experience working with Microsoft Office applications: Word, Excel, PowerPoint, and Outlook

You will bring experience supporting a higher level of communication with managers, team leads, and stakeholders.

You will bring excellent written and verbal communication skills.

The benefits for eligible part-time employees working 25 or more hours per week and full-time employees in the US include a comprehensive package of health, retirement, and insurance benefits and paid time off. The benefits for eligible project hires and part-time employees working less than 25 hours per week in the US include retirement, select insurance benefits, and where required by law, health benefits. For roles filled in Canada and other territories, local benefits plan offerings will apply.
