Diversified Properties LLC is seeking an experienced and qualified candidate to join our team in Union NJ. Reporting directly to the Property Manager, the Leasing Administrative Assistant is responsible for providing a luxury experience to our tenants by delivering excellent customer service, while also assisting the leasing team with correspondence, tours and marketing for our community of over 350 units.
The Leasing Administrative Assistant will maintain the company’s customer service and sales standards by:
· Handling incoming calls and emails
· Working with residents to resolve concerns including work order submission and follow up.
· Updating and maintaining the tenant management database, and associated spreadsheets consistently and thoroughly.
· Assisting with the planning and execution of resident events
· Assist future tenants in scheduling their upcoming move ins and executing new move in inspection walk throughs.
· Ensuring that files are complete and that all related fields are accurately and consistently entered, reliable, executed completely.
· Engaging in regular and persistent follow up with tenants regarding lease renewals, work orders, & community related issues.
· Building brand loyalty and achieving resident retention goals by ensuring that the resident experience consistently meets the standards of our luxury brand.
The Administrative Assistant will also be responsible for assisting the Leasing Agent by:
· Memorizing details and features of the community in order to generate leases.
· Preparing property marketing materials including flyers, presentations, direct mail, tour books and other documents
· Contributing to desired occupancy levels by conducting informative and personalized tours of the community that result in new leases.
· Assisting prospective tenants with completion of required application and lease paperwork
· Receive and process applications for affordable units
· Performing background checks, credit checks and other responsibilities to see if prospective renters are qualified. Must be responsible with confidential information.
· Engaging prospects in persistent follow up until they have set an appointment, reserved a home in the community or decided not to rent with us.
The ideal candidate will have:
· A minimum of 3 years customer service & administrative experience
· Experience in hospitality or rental industry preferred
· A basic knowledge of Microsoft Office programs
· Experience working in a team environment
· Reliability and a good attitude a MUST!
Job Type: Full-time
Pay: $45,000.00 - $47,000.00 per year
