Monday-Friday, hours are flexible, can be 32-40 hours/week

Location: 14715 Bel-Road, Suite #104 Bellevue, WA 98007

Hourly Rate: $20-$25/hour depending on experience level

Experience:

Must have at least 2 years’ experience in a healthcare office or equivalent. Prior experience and comfort level working with EMR software.

At least 2 years of customer service experience

Qualifications (Mandatory):

AA degree or equivalent or Bachelors Degree

Able to manage and use a strategic approach to scheduling 10-15 therapists.

Purpose:

This position is responsible for the intake and therapy session scheduling process and maintaining full schedules for the therapists. The scheduling coordinator role enhances the client’s experience by assisting families with their scheduling needs through the entire course of care, from intake to discharge, by directing questions to the appropriate department and answering questions quickly and efficiently.

Key Accountabilities/Responsibilities:

  • Keeping therapist schedules full by scheduling new evaluations and weekly treatment sessions
  • Coordinating appointments, meetings and assisting with the management of staff calendars and schedules.
  • Maintaining and achieving key metrics and reports to be reviewed on a weekly basis with the Clinical Director and/or Director of Operations
  • New Client Welcome & Orientation
  • Client discharge and scheduling
  • Participate in regularly scheduled daily and weekly meetings with the Director of Operations and Admin team
  • Keep track, order and restock office supplies and evaluation forms
  • Assist in preparing marketing and/or educational training presentations for community outreach.
  • Assist in the hiring and training of administrative support staff and volunteer program
  • Complete initial credentialing and re-credentialing for therapists insurance contracts due annually
  • Assist with social media for company Facebook page as time permits

  • Able to follow rules and reinforce clinic office policies for patients
  • Demonstrate outstanding professional, organizational, and communication skills
  • Demonstrate excellent written and verbal communication skills on the phone and in person.
  • Consistently provide professional and kind communication in an environment serving children, their parents and caregivers.
  • Maintain and comply with patient confidentiality and integrity on all patient matters (HIPAA)
  • Interact in a positive manner, and communicate well with referring providers, clinical staff, office staff, clients and management team.
