Schedule: Monday – Friday, 8:00 a.m. – 5:00 p.m. (start/end time negotiable)

Job Summary:

University of Iowa Hospitals & Clinics Department of Health Information Management (HIM) is seeking a Support Services Specialist, full time, Monday through Friday, to perform duties in the Centralized Dictation Management division of HIM. This position will oversee and manage all activities related to Centralized Dictation Services (CDS) to include the dictation/transcription system and outsource vendor that transcribes dictation. Investigate and resolve adoption cases and patient amendment requests. Support HIM administration as needed. This position is eligible to participate in remote work. Remote work must be performed at an offsite location within the State of Iowa. Training will be held ONSITE at the HSSB building at a length determined by the supervisor. Remote eligibility will be evaluated upon satisfactory job training. Successful candidates must comply with the requirements of the remote work program and related policies.

Key Areas of Responsibilities:

  • Manages, directs, and provides leadership for activities related to Centralized Dictation Services (CDS).
  • Develops and implements procedures and policies for CDS operations and assists in design and development of processes to improve dictation and transcription quality.
  • Ensures clinical department staff are adequately trained to utilize transcription software application to complete documentation as expected by policies and procedures. Assures training is specific to document and work type to meet quality standards.
  • Directs and monitors work of transcription outsource vendor. Communicates changes in work volume as appropriate.
  • Operates and monitors dictation system; coordinates system maintenance to ensure continuity of operations
  • Maintains confidentiality of patient information, including electronic data
  • Assists in the training and education of physicians and other caregivers on dictation policies and procedures.
  • Serves as liaison between CDS and clinical departments utilizing dictation system.
  • Compiles dictation and transcription usage statistics, billing charges and sends billing invoices to departments utilizing dictation system monthly. Creates fiscal year statistical reports.
  • Investigates and resolves patient amendment and non-amendment requests. Ensures patient notification within timeline required by HIPAA. Compiles amendment and non-amendment statistics.
  • Investigates and processes adoption cases and termination of parental rights paperwork per HIM procedure. Compiles adoption statistics.
  • Exhibits behavior expected of an HIM staff member.
  • Performs other projects and tasks as assigned.

Required Qualifications:

  • Bachelor’s degree in Health Information Management, business administration or the equivalent combination of education and experience is necessary.
  • One year experience working with medical records/health information.
  • One year administrative or office experience
  • Knowledge and proficiency with computer applications (i.e. Microsoft Office Suite).
  • Knowledge and understanding of medical terminology.
  • Excellent verbal and written communication skills.

Desirable Qualifications:

  • Three or more years working with medical records/health information.
  • Three or more years administrative or office experience
  • Knowledge and experience managing dictation and transcription services
  • Knowledge and experience managing outsource vendor transcription services
  • Knowledge of UIHC medical record adoption processing
  • Knowledge of UIHC patient amendment processing
  • Knowledge and use of Epic
  • Knowledge of UIHC policies and procedures
